Job Description Application Processing & Compliance Specialist About the Role Ben Leeds Properties is seeking a highly organized, detail-oriented Application Processing & Compliance Specialist to join our growing team. This role is ideal for an individual who thrives in a structured, task-focused environment and takes pride in accuracy, efficiency, and regulatory compliance. The Application Processing & Compliance Specialist is responsible for reviewing rental applications, ensuring strict adherence to all applicable Fair Housing laws, and coordinating with applicants and internal teams to support a seamless and legally compliant leasing process. This position is well-suited for someone who enjoys data review, applicant screening, and administrative excellence in a fast-paced property management environment. Key Responsibilities • Process rental applications by verifying all required information for accuracy, completeness, and strict compliance with Fair Housing laws, • Communicate with applicants regarding missing documentation, application status, and next steps, • Answer applicant phone calls efficiently while maintaining focus on daily tasks, • Maintain organized digital and physical application records in accordance with privacy regulations and Fair Housing standards, • Maintain all application and leasing files, including organizing and securely storing sensitive documents; track files signed out to other departments and ensure timely return; perform file destruction as required, • Request cancellations and refunds for inactive applicants weekly and ensure follow-through, • Coordinate with leasing agents and property managers on application reviews and approvals, • Ensure proper documentation for income verification, rental history, and background checks while adhering to California and local compliance requirements, • Monitor application timelines and proactively follow up to reduce delays, • Generate internal reports on application activity and leasing data, • Identify opportunities to streamline the application process while maintaining full regulatory compliance, • Additional duties may be required to be performed in other departments depending on the needs of the company. Must be able to adapt easily to changes in tasks and workload. Qualifications • Experience in leasing administration, property management, or a related field, • Ability to analyze applicant data and assess tenant suitability in a legally compliant and unbiased manner, • Self-starter who can work independently with minimal supervision, • Strong written and verbal communication skills with a focus on customer service, • Ability to stay organized and proactive in a high-volume, fast-paced environment, • Strict adherence to confidentiality and data privacy requirements, • Proficiency in Google Workspace (Docs, Sheets, Gmail, Drive, Calendar, etc.), • Ideal for an individual who thrives in a structured, task-oriented environment with clear daily goals, • Preferred: Strong working knowledge of Fair Housing laws, including:, • Federal Fair Housing Act, • California Fair Employment and Housing Act (FEHA), • Local ordinances in Los Angeles County, Pasadena, Santa Monica, and West Hollywood, • Experience with AppFolio is a plus Benefits • Competitive salary: $45,000–$55,000, based on experience, • Discounted or preferential rent in one of our managed units after a designated period of service, • Opportunities for career growth within the property management industry, • Supportive and collaborative team environment, • Comprehensive health, dental, and vision insurance, • 401(k) retirement plan, after a designated period of service, • Paid vacation based on length of employment Requirements & Expectations • Work Hours: Full-time, 40 hours per week, • Attendance: Punctuality is essential; arrival by 8:00 AM is required to support tenants, managers, and vendors as business hours begin, • Background Requirements: Successful candidates must pass a criminal background check, drug test, and have a minimum 650 credit score Physical / Mental Demands The employee is frequently required to sit, talk, hear, walk, use hands for typing, prepare documents, operate office equipment, dial the telephone, and reach with hands and arms. Must be able to lift and/or move 5–10 lbs. Occasionally required to climb, balance, stoop, or kneel. Responsibilities include standard corporate office duties.
