Job DescriptionSupervisor, Properties & Facilities SupportJob Type: Full-time, exempt Location: Greensboro, NC (On-site)Schedule: Monday – Friday, First shift Position Summary: Under minimal supervision, the Properties Supervisor oversees the daily operations, maintenance, and performance of assigned properties to ensure each is safe, well-maintained, and operates efficiently. The Properties Supervisor coordinates and performs maintenance activities as needed, supervising site personnel or contractors, and monitors property conditions. The Properties Supervisor supports goals of maintaining property value, optimizing operational processes, addressing issues promptly, and ensuring consistent service delivery across all assigned locations. The Properties Supervisor provides back-up support to the Facilities Manager and maintenance support for the Facilities team when needed. Essential Functions & Responsibilities:Property Oversight & Maintenance Management • Provides comprehensive oversight of all assigned properties; oversees property maintenance, including structures, mechanical systems, grounds, landscaping, irrigation systems, driveways, fencing, and any specific amenities., • Proactively identifies, assesses, and anticipates routine, preventive, and long-term maintenance needs., • Conducts regular property inspections to ensure safety, functionality, aesthetic standards, and asset preservation; addresses time-sensitive issues., • Performs minor repairs and maintenance tasks directly when appropriate and within scope of expertise., • Ensures timely resolution of maintenance issues to minimize disruption; understands liability exposure; and assesses property damage., • Serves as the primary point of contact for properties as assigned., • Coordinates and/or picks up of products purchased.Preventive Maintenance & Asset Preservation, • Develops, implements, and maintains preventive maintenance schedules for assigned properties and major systems (HVAC, plumbing, electrical, roofing, irrigation, landscaping, etc.)., • Monitors equipment life cycles and recommends capital improvements or replacements as needed., • Ensures properties comply with applicable safety codes, regulatory requirements, and insurance standards., • Identifies potential liability or risk exposures and recommends mitigation strategies.Project Management and Vendor Coordination, • Develops project scopes, timelines, and budgets., • Determines when specialized vendors or contractors are required for repairs or specific projects and outsource accordingly., • Obtains and reviews detailed estimates for repairs, renovations, and capital improvement projects., • Negotiates pricing and scope of work to ensure quality, cost-effectiveness, and adherence to timelines, and submits final recommendations and contracts for approval to appropriate leadership and/or legal office., • Supervises and manages repairs, renovations, and improvement projects from planning through completion, ensuring work is completed timely and to agreed specifications and quality standards., • Coordinates inspections, approvals, and final walkthroughs, including outside entities such as inspectors, utility providers, and regulatory agencies as necessary.Documentation & Tracking, • Utilizes MaintainX and other designated maintenance management systems to maintain and track work orders, service history, warranties, maintenance records, contracts, permits, and compliance documentation, and generates reports as required., • Prepares periodic property status reports summarizing open items, completed projects, budget updates, and upcoming maintenance needs.Financial Oversight & Budget Support, • Assists in developing and managing property operating and capital improvement budgets., • Tracks expenditures against budget and identify cost-saving opportunities., • Reviews invoices for accuracy and ensures proper coding and submissions for payment.Communication & Decision Support, • Provides regular updates to VP, Social Impact, CEO, and designated leadership regarding property conditions, ongoing projects, maintenance needs, and potential risks., • Presents clear options and recommendations for repairs, improvements, and vendor selections, including cost comparisons, risk assessments, and timeline considerations., • Escalates urgent matters promptly and provides recommended courses of action., • Exercises discretion, professionalism, and sound judgment in all communications and interactions. Skills & Experience: • Must have strong problem-solving skills, attention to detail, and ability to work independently with minimal supervision, • Must be able to make quick decisions and apply security and safety knowledge in emergency situations, • Must have strong organization and follow through skills, • Must have strong interpersonal skills in supervising and communicating with others, • Must possess exceptional verbal and written communication skills in English, with the ability to convey information clearly and concisely and engage effectively with the CEO, leadership teams, and other key stakeholders, • Must be able maintain strict confidentiality and protect security systems, access codes and key locations, • Must be capable of using two-way radios, computers, camera and security monitoring systems, and mobile phones, • Must have a valid driver’s license and insurable driving record; must be able to operate company vehicles and obtain non-CDL certification for interstate transport of product, • Must be able to travel in state and out of state when required, • Must be familiar with OSHA requirements as related to building maintenance and attend all training on OSHA mandated certifications including, lock out tag out, confined spaces, DOT training, equipment, safety and any others required by position, • Good working knowledge of MS Office, including Excel, Word, and Outlook desired, • Must be able to work in a general office environment, • Frequent walking required, • Occasional standing, bending, and stooping required; Frequent standing bending, and stooping may be required at times, based on type of project needing to be completed, • Must be able to regularly lift and move up to 30 pounds and team carry over 30 pounds Working Conditions: • Normal office environment., • Position requires site visits across assigned properties (when applicable), including interior and exterior areas. Work may involve exposure to varying weather conditions and the need to respond to property related concerns, emergencies, or crisis situations as they arise., • Position may require occasional after-hours availability to address urgent property issues or emergencies. Education & Other Specialized Skills: • Prior experience in property management, facilities maintenance, construction, or a related hands-on field preferred., • Demonstrated basic knowledge of property maintenance, including the ability to perform minor repairs (e.g., light plumbing, drywall patching, fixture replacement, basic troubleshooting) required.
