Duties and responsibilities related to the Purchasing Executive role Oversee the hotels purchasing, receiving, and cost-control processes to ensure accurate and timely operations. Manage supplier relationships, including sourcing products, obtaining quotations, reviewing pricing, resolving issues, and monitoring deliveries and invoices. Coordinate and support inventory control activities, ensuring appropriate stock levels, monitoring requisitions/transfers, and overseeing BirchStreet inventory management. Process and reconcile invoices, run financial reports (e.g., food flash reports, beverage margin analysis), and support month-end F&B financial procedures. Administer procurement and finance systems (e.g., BirchStreet , iCaps ), including user setup, catalogue management, open PO review, and document updating . Support CapEx processes by liaising with suppliers, managing budgets, creating commitments, issuing POs, and processing CapEx invoices and documentation. Ensure receiving teams follow proper procedures, provide training, and verify daily completion of receiving and invoice processing. Participate in contract management activities, including reviewing financial impact , highlighting key considerations, and maintaining updated contract records. About You You will be an organised , detail-focused professional with strong analytical skills and a proactive approach to problem-solving. You bring experience in purchasing, procurement, or finance operationsideally within a hospitality, retail, or similarly fast-paced environmentwhere accuracy, compliance, and supplier coordination are essential. You are confident working with financial data, conducting price and margin analysis, managing stock levels, and overseeing end-to-end purchasing processes. Your experience includes using procurement or ERP systems (such as BirchStreet or similar platforms), managing catalogues or POs, and supporting month-end finance tasks. You naturally build positive working relationships, whether collaborating with suppliers or supporting internal teams. You can manage multiple priorities, respond calmly to issues, and maintain high standards of professionalism and integrity. You are curious, adaptable, and eager to improve processes, with a commitment to delivering high-quality work and supporting an inclusive, team-focused environment.
