Key ResponsibilitiesAdministrative & Clerical Support * Manage and coordinate schedules for assigned personnel * Prepare correspondence, reports, and client documents from dictation, handwritten notes, and general instructions * Review and edit outgoing materials for accuracy and clarity * Create and maintain project and activity files * Prepare project setup information and billing profiles * Maintain records of engineer licensure, training, and certifications * Draft PowerPoint presentations for client meetings * Prepare agendas and meeting notes for staff and in-house meetings * Maintain client information and assist with client communications * Assist with billing, invoice review, and project expenditure tracking * Maintain laboratory test logs and transfer data to accounting Additional Responsibilities * Serve as backup for answering phones and receptionist duties * Provide backup support for ordering and tracking office supplies * Assist with planning company events * Ensure all work complies with Thompson Holdings' Health, Safety & Environmental Management System, policies, and procedures * Actively participate in safety meetings, toolbox talks, and safety initiatives * Perform other duties as assigned QualificationsMinimum Requirements * High School diploma or equivalent required; Associate's degree in a relevant field preferred * 3–5 years of administrative experience in a professional office environment * Valid driver's license * Strong written and verbal communication skills * Proficiency in Microsoft Word, Excel, and Outlook required; PowerPoint, Publisher, and Adobe Standard preferred * Willingness to work flexible schedules and overtime as needed * Ability to work on-site in a heavy construction setting * Flexibility and willingness to travel when needed Physical Requirements * Ability to sit for extended periods and operate office equipment * Ability to stoop, bend, and file documents * Effective verbal and written communication skills * Ability to safely operate a motor vehicle * Ability to lift and carry up to 25 lbs About Thompson Engineering Founded in 1953, Thompson Engineering has built a reputation for excellence in construction quality assurance, geotechnical services, materials testing, and inspection.
