Purpose: The Facilities Manager will coordinate, direct, and execute the maintenance, and alteration of equipment, machinery, buildings, and other facilities by performing the following duties personally or through contractors and other personnel. This position plays a key role in supporting day-to-day office operations of the facility at large by ensuring the maintenance, repairs and service to all building and/or production equipment support systems, front desk coverage, IT helpdesk triage, badge administration, mail processing, and workplace systems coordination, and supporting EHS initiatives. This role is central to delivering a professional, secure, and well-functioning workplace environment. and serves as the first point of contact for visitors and staff while supporting internal tools like Envoy, Brivo, and physical security systems. You will be responsible for creating and maintaining the safest possible working environment for all employees at the facility while promoting continuous safety improvement among employees. Responsibilities: • Facility and Infrastructure maintenance, • Ensure all equipment is maintained according to manufacturer’s instructions and on schedule., • Filling out all needed documentation of maintenance performed., • Inspect equipment and systems to ensure proper function., • Ensure all equipment is operating properly or provide the needed repairs to return equipment to proper operations., • Respond promptly to emergency breakdowns or situations., • Ensure all service tickets and requests from onsite personnel are attended to in a timely manner., • Adhere to all local and federal safety regulations, standards, and company policy., • Assist where needed in making improvements to any and all spaces onsite., • IT Helpdesk Support:, • Provides first-level support for IT-related issues, including basic troubleshooting and servicing of computers, printers, software, and connectivity; escalates complex or unresolved issues to appropriate internal or external IT teams, • Badge Administration, • Administers and maintains the employee badge system including the issuance, deactivation, audits, and replacement of badges; ensure adherence to security protocols and maintains accurate access control records., • Visitor Management and Experience, • Oversee daily operations of the visitor check-in system (Envoy), ensuring proper registration, host notification, and compliance with site security and visitor protocols., • Takes ownership of the front lobby and adjacent areas, including conference rooms, to ensure a clean, welcoming, and professional environment for all visitors, • Ensures that the overall visitor experience is smooth, efficient, and reflective of the organization’s standards for hospitality and professionalism., • Coordinates with internal teams to prepare for VIP visits, interviews, external meetings and vendors, ensuring all logistics are handled with attention to detail., • Workplace Technology Systems, • Supports the use and upkeep of internal platforms such as Brivo and security camera interfaces; assists with user access, system status monitoring, and vendor coordination for troubleshooting., • Mail Processing, • Manages incoming and outgoing mail, including sorting, internal distribution, • Onboarding/Offboarding Support, • Supports coordinating efforts with cross-functional teams to ensure new hires receive appropriate workspace setup, access credentials, welcome materials, and orientation support. Assists in resetting workspaces after offboarding., • Office Supplies and Vendor Coordination, • Monitors inventory of general office and front desk supplies; coordinates restocking and service calls with external vendors for items such as water, coffee, and office supplies/equipment., • Other Duties, • Performs additional responsibilities, as assigned, to support workplace operations and enhance administrative continuity., • Able to be on call occasionally on weekends and holidays. Requirements: • Strong organizational and administrative skills in addressing visitor needs, mail handling, and document processing., • Excellent communication skills in addressing maintenance and administrative needs., • Proficient with hand tools and troubleshooting equipment failure analysis., • Mechanical aptitude., • Electrical aptitude., • Ability to stand long periods, bending, climbing ladders, lifting 50 lbs Skills: • Knowledge of or willingness to learn Helpdesk Ticketing System (FreshService), • Logging, tracking, and resolving technical issues, • Knowledge of or willingness to learn Badge Access Systems, • Badge issuance and access control, • Knowledge of or willingness to learn Visitor Management Platforms, • Guest check-in, notifications, and recordkeeping, • Knowledge of or willingness to learn Office Productivity Suites, • Documentation, scheduling, and communications., • Knowledge of or willingness to learn Basic Knowledge of Surveillance System, • Monitor and report issues using security camera interfaces, • Knowledge of or willingness to learn General IT Troubleshooting Tools, • Comfort with basic diagnostics of Windows or Mac-based systems, printers, and peripherals.
