Position Summary The Business Office Director (BOD) is responsible for overseeing and managing the financial, administrative, human resources, and compliance functions of the community in accordance with Illinois Department of Public Health (IDPH) regulations, federal and state laws, and Longevity Senior Living policies. This role ensures accurate financial operations, regulatory compliance, and efficient business office processes while supporting residents, families, and leadership. Key Responsibilities • Process and manage accounts payable using Yooz, including reviewing, coding, and approving invoices for accuracy, compliance, and proper GL allocation., • Ensure timely payment of invoices in accordance with vendor contracts, internal controls, and established payment terms., • Maintain accurate vendor records, manage vendor contracts, and promptly resolve billing discrepancies., • Create, generate, and distribute resident and customer invoices via mail, email, or electronic systems., • Track outstanding invoices, follow up on collections, and address delinquent accounts in accordance with company policy., • Process and post payments accurately and timely; reconcile accounts and resolve payment discrepancies., • Maintain accurate accounts receivable records, including aging reports., • Ensure all A/P and A/R documentation is complete, organized, and maintained in a survey- and audit-ready manner in accordance with Illinois IDPH requirements., • Serve as a primary point of contact for residents, families, internal staff, and external partners., • Coordinate concierge and administrative services, ensuring professional front-desk operations., • Assist with scheduling, communications, correspondence, and document management., • Coordinate and manage employee orientation and onboarding programs., • Schedule and track pre-employment and ongoing requirements, including physicals and TB testing., • Conduct and monitor IDPH healthcare background checks and Universal Background Checks., • Complete, verify, and maintain I-9 documentation in compliance with federal law., • Set up orientation materials, schedules, system access, and required documentation., • Maintain confidential employee records and compliance tracking., • Maintain OSHA 300 logs and ensure workplace safety reporting compliance., • Coordinate and manage Workers’ Compensation claims, reporting, and documentation in partnership with HR., • Ensure compliance with all applicable federal, state, and organizational regulations, including IDPH requirements., • Maintain survey-ready documentation and support IDPH surveys and audits., • Maintain organized, accurate, and compliant business office records., • Support leadership with financial reports, census documentation, and administrative needs., • Ensure efficient office operations and identify opportunities for process improvement., • Experience in senior living, healthcare, or regulated environments preferred., • Strong knowledge of business office operations, payroll coordination, A/P, and A/R., • Understanding of Illinois IDPH regulations and survey processes preferred., • Excellent organizational, communication, and problem-solving skills., • Ability to handle confidential information with discretion., • Health insurance costing as little as $50/pay period Individual, Full Time Employees, • Robust benefit plan offerings including Medical (PPO and HAS Plans), Dental, Vision, Critical Illness, Accident Insurance, HSA, FSA, etc., • Employer Paid Short Term/ Long Term Disability, Life Insurance, Employee Assistance Program, • 401(k) plan with employer match, • Paid Time Off and Paid Holidays
