Job Description Manufacturing Materials & Order Coordinator - Naperville, IL 7AM-3PM MONDAY-FRIDAY $22-$25/hr Job Description The Manufacturing Materials & Order Coordinator supports a busy manufacturing operation by overseeing material flow, inventory control, and order management to ensure on-time production and delivery. You will work closely with production leadership, purchasing, engineering, shipping/receiving, and assembly teams to make sure the right materials are available, orders are accurate, and customer commitments are consistently met. This role directly impacts manufacturing efficiency, schedule adherence, and overall customer satisfaction. Responsibilities • Partner closely with the Production Leader to manage day-to-day material flow and production priorities, ensuring the shop floor has the components needed to meet schedule commitments., • Maintain and manage inventory control using the SPX (MSRP) system by building and releasing project-type orders, monitoring stock levels, and triggering automatic replenishment requests when necessary., • Ensure inventory records remain accurate by regularly reviewing system data and validating quantities on hand., • Manage manufacturing order control by creating and tracking manual pick-list orders (pink sheets) and following them through to completion., • Perform manual cycle counts alongside the Production Leader to verify inventory accuracy and identify discrepancies., • Monitor manufacturing orders to ensure there are no late or delayed orders, and take proactive steps to resolve issues that could impact on-time delivery., • Collaborate with Purchasing to confirm parts availability and lead times, ensuring replacement purchase orders are issued when needed., • Proactively prevent material shortages and late orders by anticipating demand, identifying potential constraints, and communicating with relevant teams., • Coordinate component and replacement part orders, which represent approximately 30% of the business, working closely with Shipping & Receiving to ensure timely processing., • Work closely with Engineering on custom-engineered orders to confirm correct parts are received on time and align scheduling with Mechanical and Electrical Assembly teams., • Initiate outgoing orders and coordinate logistics by scheduling trucks and shipments, entering dimensions and shipping details, and utilizing UPS, FedEx, and other freight carriers., • Serve as a key resource for the Shipping & Receiving team to help resolve material or order issues and keep operations running smoothly., • Communicate effectively with Outside Sales and Accounting regarding order status, delays, or discrepancies, providing clear and timely updates., • Operate within environments aligned with ISO 9001 and ISO quality systems, following established procedures and documentation requirements., • Support and participate in continuous improvement initiatives, contributing ideas to improve efficiency, accuracy, and workflow within the manufacturing group., • Help drive efficiency and accuracy within the manufacturing group by identifying process gaps and assisting in implementing corrective actions., • Interface daily with the Market Manager, Team Service Coordinator, Shipping & Receiving team, and Mechanical & Electrical Assemblers to align priorities and resolve issues., • Collaborate with 15–18 cross-functional team members, ensuring clear priorities are communicated and urgent orders are completed and shipped on time., • Use strong communication and influencing skills to direct work, manage competing priorities, and ensure shipping deadlines are consistently met., • Strong understanding of manufacturing workflows and material flow within a production environment., • Experience in manufacturing, production coordination, inventory control, materials planning, shipping/receiving leadership, logistics coordination, or manufacturing customer service/team service coordination., • Experience with ERP or MRP systems, with the ability to build, release, and track orders within an electronic system., • High attention to detail with a strong sense of urgency when managing orders and materials., • Excellent written and verbal communication skills to interact with cross-functional teams, sales, and accounting., • Ability to work cross-functionally and resolve issues independently, using sound judgment and problem-solving skills., • Computer skills, including proficiency with Microsoft Office and Microsoft Excel, and comfort working with data and order entry systems., • Strong organizational skills to manage multiple orders, priorities, and deadlines simultaneously., • Comfort with supply chain, order management, order entry, and order processing activities., • Experience in supply chain, purchasing, procurement, logistics, or inventory management., • Experience with order entry, order management, and order processing in a manufacturing or distribution environment., • Familiarity with Microsoft Office, including Excel, for managing data, reports, and tracking metrics., • Experience working with purchase orders, invoicing, and administrative support related to manufacturing or logistics., • Comfort working in a fast-paced environment where priorities can shift based on customer needs and production demands., • Strong general communication skills and the ability to collaborate with engineering, production, and commercial teams., • Detail-oriented mindset with the ability to identify discrepancies in orders, inventory, or documentation., • Willingness to learn proprietary systems such as SPX (MSRP) and adapt to new tools or processes. Work Environment This role is based in a 60,000 sq ft manufacturing facility that is medium-sized, very clean, and well organized. The organization is growing and has demonstrated strong stability over the past few years, with no layoffs reported. You will work Monday through Friday from 7:00 a.m. to 3:00 p.m., providing a consistent daytime schedule. The position sits within a prototyping center that is separated from the main production area, where you will work closely with Engineering to support machining of products under consideration for production. The environment is collaborative and cross-functional, involving regular interaction with engineering, assembly, shipping/receiving, and leadership teams, and uses tools such as ERP/MRP systems, Microsoft Office, and standard shipping platforms like UPS and FedEx. Job Type & Location This is a Contract to Hire position based out of Naperville, IL. Pay and Benefits The pay range for this position is $22.00 - $25.00/hr.
