Job DescriptionWhitley Law Firm is looking for an experienced IT Coordinator to join our team. Employees at Whitley Law Firm share a mission of obtaining the best results for our deserving clients. The IT Coordinator plays a critical role in maintaining and managing the organizations IT infrastructure in partnership with our vendor. This role will help ensure functionality, efficiency, and seamless integration with other systems, including but not limited to our Case Management Software. This role involves providing on-site, direct technical support, training staff, troubleshooting and resolving technology issues, and collaborating with multiple departments and the firms IT provider for network or systems support as needed. Anticipated Schedule: Full-time | Monday - Friday | 8:00AM - 5:00PM Key Responsibilities: • Case Management System (CMS) and Project Support:, • Manage, maintain, and troubleshoot the firms Case Management System (CMS) and related software., • Serve as the primary point of contact for CMS-related issues, acting as a liaison between the firm and the CMS vendor., • Administer system access, permissions, and credentials for users, ensuring proper setup and role assignments., • Develop and deliver training for users, ensuring they can effectively use the CMS., • Build, manage, and maintain reports, templates, and document storage processes within the CMS., • Support firm wide software or IT projects as needed., • IT Support and Vendor Management:, • Provide general IT support across the firm, including troubleshooting hardware and software issues (network devices, phones, Wi-Fi, printers, etc.)., • Ensure the smooth operation of technology infrastructure, such as cloud storage, servers, internet providers, and conference room equipment., • Administer and resolve IT support tickets, evaluate trends in recurring issues, and propose preventative measures., • Collaborate with third-party IT vendors for complex technical support and long-term improvements., • System Security:, • Establish and maintain security protocols to protect the organizations data and IT systems., • Host employee cybersecurity training and/or tests to ensure adoption of protocols., • Documentation & Process Development:, • Develop, maintain, and update standard operating procedures (SOPs), and training materials for the Case Management System or other company-wide software on an ongoing basis., • Create, update, and maintain documentation for IT-related processes, including technology setup, issue resolution, and best practices., • Third-Party System Management:, • Oversee the user administration and integration of third-party software solutions, such as Sharefile, Supio, and NC eFiling system., • Ensure third-party systems are functioning properly and provide support when issues arise., • Equipment Maintenance and Management:, • Maintain ongoing maintenance, updating, and inventory of equipment such as laptops, phones, monitors, headphones, etc., • Procure equipment and setup as needed for new hires and replacements.Required Skills and Abilities:, • Case Management System Expertise: Must have demonstrated experience and strong understanding of utilizing legal case management software (CMS), such as Growpath or Filevine., • General IT Knowledge: Working knowledge of network infrastructure, cloud-based storage solutions, and general IT troubleshooting (hardware/software)., • Communication Skills: Ability to communicate to internal and external stakeholders with a high-level of customer service, including but not limited to employees and vendors. Also, excellent verbal and written communication skills, with the ability to effectively convey technical information to non-technical users., • Problem-Solving and Resourcefulness: Must exhibit strong problem-solving skills and the ability to think critically when faced with IT challenges or operational bottlenecks., • Collaboration & Interpersonal Skills: Ability to work effectively in a collaborative environment, providing IT Help Desk support and fostering strong working relationships across departments for troubleshooting., • Time Management & Organization: Must possess excellent organizational skills, with the ability to prioritize tasks and manage multiple responsibilities or tasks simultaneously.Education and Experience Requirements:, • Must have an Associates degree in Computer Science, Information Technology, or a relevant field; Bachelors degree is preferred, or an equivalent combination of experience and education., • Must have at least two (2) years or experience working in an IT role providing technical support to staff and managing software implementation, • Expert proficiency in Windows with Microsoft Office Suite, including Outlook, Word, SharePoint, etc., • Experience with Teams, Slack, Zoom, Yealink and other systems is preferred., • Experience working with Case Management software, specifically Filevine is highly preferred., • Experience with SQL coding and DOMO is preferred., • Experience working in a law firm setting is preferred.Benefits:, • 401(k) Retirement Plan eligibility + Employer Contribution after 6 months, • Medical, Dental, Vision insurance + Employer contribution, • Medical and Dependent Care Savings Accounts: HSA, FSA, DCA, • Company paid Life Insurance and Short-Term Disability (STD), • Paid time off (PTO) + 11 Company Paid Holidays, • Employee Assistance Program (EAP), • Parental leave
