Job Description Job Title: Quality Documentation Specialist Job Description This entry-level role offers an excellent starting point for a career in aerospace manufacturing, with no prior industry experience required. As a Quality Documentation Specialist, you organize, track, and maintain critical technical information that supports production and quality operations. You work closely with Document Control, Change Management, Calibration, Planning, and Engineering teams to ensure accurate, compliant, and accessible documentation. This position is ideal for someone who naturally notices details, enjoys organizing information, and takes satisfaction in creating clear, logical systems. Your work directly supports the company’s performance in Quality, Cost, Delivery, Safety, and Attitude by keeping data reliable, up to date, and easy to find across the organization. Responsibilities • Maintain and organize technical documents, drawings, and records to ensure information is current, accurate, and easy to retrieve., • Ensure the correct document revisions are active, clearly labeled, and properly distributed to relevant teams., • Scan, file, and manage digital records and file structures to support efficient document control., • Prevent file duplication, mislabeling, and use of outdated data by consistently reviewing and organizing documentation., • Coordinate and track change management tickets related to specifications, industry standards, customer-specific requirements, and validation, cancellation, or inactivation notices., • Initiate change records when updates are required by Planning or Customer Management and ensure they follow established processes., • Record, file, and communicate updates so that affected teams are informed of changes in a timely manner., • Monitor incoming and outgoing technical data to ensure it is properly stored and does not accumulate in temporary locations or get lost., • Maintain organized temporary storage areas and close out records once updates are complete., • Perform periodic audits of file structures, records, and data accuracy to support quality and compliance requirements., • Support vendor audit tracking by helping identify when updates, re-certifications, or follow-ups are needed., • Ensure proper naming conventions, revision control, and structural organization of drawings and specifications., • Maintain compliance-related records, including ITAR documentation and access records, in accordance with established procedures., • Store contractual documents consistently so they can be easily located for reference or audit purposes., • Track and maintain calibration records for tools and equipment to support ongoing calibration programs., • Help ensure required calibrations are completed on time and properly documented., • Assist with aligning technical data to production and planning needs so that manufacturing teams have the correct information., • Support engineering teams by organizing drawings, specifications, and updates in a clear, logical manner., • Monitor customer portals and folders for updates, notifications, or new technical data and ensure they are captured in internal systems., • Route important updates, such as quality notifications, to the appropriate teams to support timely action and communication., • Strong attention to detail with the ability to notice inconsistencies, errors, or missing information in documents and data., • Organizational skills and an interest in structuring information, files, and systems in a logical and efficient way., • Ability to follow established procedures for document control, change management, and record keeping., • Comfort working with digital files, scanning, and electronic document management systems., • Capability to track multiple tasks, tickets, and updates simultaneously while maintaining accuracy., • Clear written and verbal communication skills to support coordination with Quality, Planning, Engineering, and other teams., • Reliability in handling compliance-related records, including sensitive or regulated documentation such as ITAR-related materials., • Interest or experience in quality assurance, document control, audit support, or quality control activities., • Exposure to or interest in aerospace, aircraft, aviation, airframe, structures, or aircraft mechanical environments., • Ability to support calibration tracking and documentation for tools and equipment., • Comfort working with customer portals, shared file systems, and vendor documentation. Work Environment The role is based in an aerospace manufacturing environment that focuses on quality, precision, and compliance. You work standard daytime hours, Monday through Friday from 7:00 a.m. to 3:30 p.m., supporting production and office-based functions. The position involves frequent use of computers and digital systems to manage technical documents, drawings, and records, as well as interaction with quality, planning, engineering, and supplier-related teams. You operate within structured procedures and controlled systems that support document control, change management, calibration tracking, and regulatory compliance. Job Type & Location This is a Contract to Hire position based out of Tulsa, OK. Pay and Benefits The pay range for this position is $18.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
