Summary: The Maintenance Work Activity Coordinator serves as the site’s lead tactical maintenance planner, ensuring that all maintenance and turnaround activities are effectively prepared, scheduled, and executed. This role partners daily with operations, engineering, the MRO coordinator, and contractors to develop comprehensive job packages, verify readiness, and provide timely job status updates. The Coordinator identifies and secures required materials, equipment, and resources, prioritizes emergency work, and removes obstacles to keep jobs on track. Responsibilities include documenting work, closing work orders, and maintaining accurate spare parts identification within inventory systems. The role also holds contractors accountable for completing work safely and correctly while optimizing resource use for maximum efficiency and productivity. In addition, the Coordinator provides support for capital projects at both the SF Plant and Warehouse. Key Responsibilities: Work Activity Coordinator: • Serve as the site’s Maintenance Focal Point, assigning resources to work orders and preparing complete job packages for repair and maintenance activities., • Monitor and report daily work progress, making schedule adjustments as needed to optimize fieldwork, reduce downtime, and control maintenance costs., • Plan, schedule, and track work within the CMMS Maximo system, ensuring accurate and timely updates., • Develop and update job plans to include required PPE, procedures, work sequences, labor needs, materials, and estimated hours., • Lead spare parts inventory analysis and recommend stock bin levels to support maintenance efficiency., • Conduct Root Cause Investigations (RCI) on equipment failures and recommend corrective actions., • Coordinate and utilize both internal and external craft personnel efficiently, and prepare alternate work plans when operational requirements change., • Initiate work permit procedures, confirm completion of scheduled job sequences, return equipment to operations, archive records, and close work orders., • Review backlog status with the maintenance team, reprioritizing and rescheduling as necessary., • Perform technical analysis of equipment to identify opportunities for continuous improvement., • Lead and facilitate daily scheduling meetings to align priorities and resources., • Plan and coordinate maintenance and repair work, preparing detailed job packages in Maximo that identify required crafts, tools, equipment, materials, and services., • Ensure job packages include accurate specifications, such as flange tags, Bills of Materials, torque and pipe specifications, and P&IDs., • Conduct job walks to validate field conditions, confirm scope accuracy, and ensure plans align with actual equipment specifications. Return outdated or inconsistent P&IDs to operations for correction., • Incorporate quality feedback from technicians into archived job plans, creating and maintaining a reliable library of repeatable job plans., • Perform field audits to verify procedures are followed and safety standards are upheld., • Implement and track tasks related to Management of Change (MOC) processes., • Carry out other related duties as assigned to support maintenance operations and plant reliability. Turnaround Coordinator: • Manage work inventory size, job scope, timing and progress as the inventory is processed through planning, purchasing and scheduling., • Turnaround planning begins 6-12 months prior to scheduled T/A., • Develop schedule to optimize the job execution sequencing and resource loading., • Review work requests for the necessary information and detailed job scope to ensure a value added work order was provided. Visits the job site to obtain information necessary to plan and execute the repair or PM work orders., • Consult Subject Matter Experts (SME's) to gather needed information., • Promote a culture of safety with all parties involved in any T/A activity., • Facilitates safety tailgate meetings., • Ensures job packets and schedules are given to craft resource focal points prior to work start date. Conduct job walks with craft resource focal points to confirm deliverables, time and resource commitments., • Verify all materials have arrived, are tagged or labeled with the Work Order # and staged appropriately., • Ensure field work is progressing safely & productively. Check on work crews to ensure they have needed resources and materials (tools, job packet, procedures, parts, PPE, barricades, permits, etc.) to perform the job safely and efficiently., • Coordinate maintenance/contractor/operations activities and resolve any issues that delay the start and completion of assigned work., • Provides corrective action alternatives for schedule, cost, procurement and/or work instruction deviations., • Metrics for Turnaround Coordinator Role, • Turnaround work duration (Start Maintenance work to Maintenance RTO), • Variance from the planned Maintenance RTO date in hours or days, • Cost savings/loss from TA outage duration actual versus planned, • Safety results, • The Turnaround Coordinator has shared Responsibility for:, • Develop Preliminary Plan for Management and Control, • Prepare turnaround cost estimate, • Prepare turnaround execution plan and schedule, • Perform pre and post shutdown activities, • Review Work Orders for technical completeness and scope clarity., • Identify task activities, materials/tools/equipment, and safety requirements necessary to safely perform tasks., • Indicate safety, health and environmental considerations and control measures to prevent contact or exposure Requirements: • A minimum of 5 years experience in Chemical Manufacturing., • Ability to develop and interpret detailed job plans and packages., • Knowledge of mechanical and electrical equipment, valves, actuators, gaskets, pumps, piping, torque, welding, and related specifications., • Proficiency with CMMS systems (IBM Maximo or similar) and maintenance information systems (work order, purchasing, planning, scheduling, pipe specifications)., • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)., • Familiarity with EH&S and training tools (e.g., Intelex)., • Understanding process flow diagrams, P&IDs, and process equipment locations., • Knowledge of Critical Path Methodology, Gantt and PERT scheduling, and resource-loading techniques., • Familiarity with Global Mechanical Integrity Safety Standards, LOPA, BPCS, and SIS requirements., • Knowledge of construction and turnaround safety standards., • Experience with root cause investigation methodologies., • Strong project management and contractor management experience., • Ability to estimate job durations and resource needs based on historical data., • Understanding of materials of construction and ability to specify parts for purchasing (including cost and delivery considerations). Competencies: • Strong organizational and project management skills, with the ability to manage and track multiple projects to completion within established timelines., • Exceptional written and verbal communication skills, capable of effectively conveying complex technical information to both technical and non-technical audiences across a variety of delivery platforms., • High level of adaptability and problem-solving skills, with the ability to remain effective in environments of uncertainty and change., • Work effectively with limited supervision., • Be able to perform at a high level in various environments, including field and plant environments., • Able to work collaboratively across cultures and with individuals of diverse backgrounds., • Able to work effectively both in a team environment and independently. Expected Hours of Work: • Work hours frequently extend beyond an 8-hour day and 40-hour week.
