Job Description Event Day-Of Coordinator SB Events Co. | Weddings & Destination Events U.S.-based | Domestic & International Travel Required (Approx. 60%) Contract / Part Time Why This Role Matters Event days are where months of planning come to life. As an Event Day-Of Coordinator with SB Events Co., you are part of a team committed to precision, hands-on execution, and delivering seamless experiences for large-scale weddings and destination events—often with 250+ guests across multiple days. The Role The Event Day-Of Coordinator supports on-site execution under the direction of the Event Director and Lead Planner. You’ll play a key role in guest experience, client support, vendor coordination, logistics, and overall event flow—working closely with planners, vendors, and fellow coordinators to ensure each event feels composed, thoughtful, and well cared for. This is not a casual role. It requires reliability, professionalism, and a genuine commitment to showing up fully for the team and our clients. This role is best suited for individuals who are able to prioritize SB Events Co. events within their professional schedule and maintain availability during active booking periods. Availability & Travel Commitment • Events are typically multi-day celebrations for one couple, often Thursday–Saturday or Thursday–Sunday; availability for all event days is required, • Coordinators are expected to maintain broad availability during peak event seasons, • Must be available for domestic travel across the U.S. and international destination events, • International assignments typically require 5–7 consecutive days of availability, including travel, • Availability for weekends and major holiday weekends is required when events are scheduled, • Travel days are additional when events take place outside of Dallas, Texas, • Once an event is accepted, all associated dates are considered firm and non-negotiable except in true emergencies, • Reliability and follow-through directly impact future booking priority and growth opportunities What You’ll Do Event Execution • Support setup, event flow, and breakdown across multi-day events, • Execute assigned roles such as guest experience, bridal support, event runner, logistics, food & beverage, or production support, • Stay aware of timelines, transitions, and priorities throughout each day, • Identify issues early and escalate with thoughtful, solution-oriented communication, • Remain flexible and step in where support is needed, • Handle long days with focus, urgency, and care, • Assist with pre-event preparation and execution of the planning process, • Attend 2–3 internal timeline meetings per event, • Attend annual refreshers and internal knowledge shares Guest & Team Experience • Provide calm, warm, and professional support to clients, families, and guests, • Serve as a point of contact for guests when assigned, • Work collaboratively with planners, coordinators, and vendor partners, • Contribute to a composed, positive, and supportive on-site environment Ownership & Decision-Making • Think proactively and take initiative within your assigned role, • Make sound, real-time decisions aligned with leadership direction, • Take pride in doing things well—even when no one is watching Who This Is For • Someone who genuinely enjoys live events and on-site execution, • A calm problem-solver who performs well under pressure, • A team player who values structure, leadership, and collaboration, • Someone who takes pride in reliability, professionalism, and follow-through, • Someone excited by travel, multi-day events, and dynamic environments Qualifications • Prior experience in weddings, events, hospitality, or production preferred, • Strong communication skills and professional presence, • Ability to stay composed and solution oriented in fast moving and stressful situations, • Comfortable being on your feet for long periods and lifting light to moderate items, • Familiar with tools such as WhatsApp and Google Drive, • Valid passport and ability to travel internationally, • Legally authorized to work in the U.S. and travel internationally, • Valid driver’s license and reliable personal transportation required, • Ability to independently travel to event sites, meetings, and call times, including early mornings and late nights Professional Standards • Reliability and punctuality are mandatory, • No unprofessional behavior on or off event sites, • Team members must remain alcohol-free while on duty, including during event days, site visits, client meetings, travel days tied to events, and at any venue or location where the company is represented, • Respect for leadership, team structure, and direction, • Positive attitude, emotional intelligence, and a team-first mindset Compensation & Perks • Competitive per-event-day rate based on experience and responsibility, • Flights, lodging, and ground transportation covered for destination events per company policy, • Meal and incidental allowance during travel and event days, • Additional bonus applied to destination events and holiday weekends, in addition to the standard day rate, • Priority booking and growth opportunities for consistently reliable coordinators What You’ll Gain • Hands-on experience with multi-day South Asian weddings and destination events, • Opportunities to travel across the U.S. and internationally
