Job Description The function of the Service Center is to provide customer service to all employees, customers and staff related to service center operation, print production, courier services, and internal and external mail operations. Duties may include hospitality and catering, moving files, boxes, and furniture, performing handyman tasks and other duties as assigned. We are seeking a reliable, self-motivated individual, who can handle complex instructions, perform quality control and who is willing to be a team player. JOB RESPONSIBILITIES: • Assist by obtaining job specifications and preparing complete and accurate work order forms., • Perform customer service duties; communicating via email, phone, in person to gather assets, proof files, review job specs, etc., • Competency with large format printing, .pdfs, booklets, binding options, high quality color brochures, etc., • Floor Coordination includes the upkeep of copy rooms and stocking of general supplies, delivery of paper and basic daily maintenance., • Process, comprehend, and follow detailed written and verbal instructions., • Prepare digital files to download to large format color digital and finishing devices., • Operate and maintain large format and small format color digital devices to generate oversized prints., • Monitor the quality of the end products and ensures the product matches the specifications determined by the clients., • Monitor and complete all necessary forms for billing., • Perform inspections of all service center production work to identify errors and correct, mentor and train other service center employees., • Ability to perform basic maintenance on service center equipment; troubleshoot remote machines., • Perform quality control checks on each job produced; Gather, organize, and wrap completed work for delivery; Complete paperwork for the billing process., • Distribute office supplies, fax transmissions and mail to company personnel and/or designated drop-off points as required., • Sort mail and route courier and shipment deliveries as needed., • Maintain supplies in all satellite multi-function device stations; keeps areas neat and fully stocked., • Handle disassembly, moving and re-assembly of company desks, hutches, tables, chairs, computer equipment and other items; must be able to lift and move very heavy objects., • General handyman responsibilities as needed in a professional office setting., • Ensure the Service Center is always organized and clean; adhere to safety instructions., • Consistently seek out ways to provide service and offer solutions that will positively impact client service., • Assess requirements and make recommendations that add value to the finished projects., • Friendly personality and good attitude; commitment to provide a high level of customer service. Works well in team environment; communicates well, both oral and written., • Excellent organizational skills; detail-oriented; proficient with Microsoft Office applications, • 1-2 years of direct color services and design such as signage, posters, projects, etc. Thorough knowledge of materials and equipment utilized in color duplicating and digital printing., • Ability to organize and prioritize numerous tasks and complete them under time constraints with minimal supervision; ability to draft emails and forms using proper grammar, punctuation, and spelling., • Interpersonal skills necessary to communicate in person, by e-mail and telephone and follow instructions effectively from a diverse group of attorneys, clients and staff and to provide information with courtesy and tact., • Work occasionally requires a high level of mental effort and strain when performing a high volume of tasks and performing other essential duties., • Knowledge and understanding of all major color graphics software programs helpful; understand color file manipulation and digital printing processes. Experience in graphic application files and printing solutions; experience in finishing work; lamination, cutting, weeding, taping., • Work occasionally requires more that 37.5 or 40 hours per week to perform essential duties of position; flexibility to work overtime on occasion., • Ability to manage confidential information, both within the firm and outside the firm. Must follow the firm’s confidentiality policy, as well as internal department policies., • Ability to learn and develop basic skills with firm telephone system, email, document management system and other firm-related software as necessary. Proficiency in desktop software which includes Adobe Acrobat, E-Copy, and the Microsoft suite of products.
