To our own workforce, we seek out individuals who exemplify our core values by being: • Committed to excellence and measurable impact, • Drivers of continuous and purposeful innovation and improvement, • Inclusive of other’s perspectives and talents, • Leaders of utmost integrity, • Passionate and enthusiastic about the systems level work behind workforce development Essential Duties and Responsibilities Fiscal Department Administration • Maintain financial and accounting policies and procedures in compliance with state and federal regulations affecting Partner4Work, as well as Partner4Work Accounting and Financial Policies and Procedures Manual., • Have a general knowledge of the state and federal regulations that affect the Fiscal department, • Pull necessary information for independent audits as directed., • Respond to inquiries and information requests from internal and external parties that pertain to areas of responsibility., • Assist with updates to the P4W Accounting and Financial Policies and Procedures Manual., • Collaborate with P4W staff to meet organizational goals and strategic plan., • Ensure all internal and external deadlines are met., • Prepare timely bank and credit card reconciliations., • Create and send out Invoice templates., • Assist with online Web Purchasing and Invoicing. Payroll-related duties • Process semi-monthly payroll into ADP, including tracking adjustments for pay and related payroll items, calculating overtime, retroactive pay, partial pay, and other related items ensuring accuracy., • Will assist the Accounting and Payroll Manager with related payroll and time & attendance items and questions from staff including but not limited to payroll questions, lockouts, errors, applicable tax questions and monitors ADP run messages., • Assist with setting up new tax codes when needed., • Assist with external audits of payroll, including unemployment compensation., • Responsible for entering short-term disability into payroll system and verifying payments with HR., • Enter Payroll monthly into an excel spreadsheet with benefits and deductions to upload into the accounting system., • Create strong working relationships with staff to ensure payroll processes are working efficiently., • Assist the fiscal department with the Summer Learn & Earn program, including but not limited to, processing payroll, new hire onboarding, payroll issues, etc., • Other duties as assigned. Federal and State Award Grants/Sub Award Management Oversee multiple awards to ensure P4W and subrecipient/contractors comply with state and federal regulations as well as contract terms, which include: • Financial reporting requirements (FSR, Closeout Reports and subrecipient financial support needed according to the Monitoring Risk Assessment);, • Compliance with Uniform Guidance including but not limited to Pre and Post Award Requirements and Cost Principles;, • Assisting in preparation of Grant Award budgets;, • Assisting with Subrecipient contracts attached to federal and state award funding source, which includes review of fiscal related items in the contract, budget, monthly budget analysis, and proper invoicing;, • Working with P4W Program staff on proper invoice coding, including cost allocation to proper funding sources, class and account. P4W Ambassador • Contribute to the development of a supportive and collaborative work environment through active participation in internal collaborations, teams, and activities., • Provide a high level of customer service for existing and prospective partners through transparent, accessible, and open dialogue about the organization’s strategy and prospective projects. Supervisory Responsibilities This position does not have any supervisory responsibilities. Required Knowledge and Skills • General knowledge of general ledger accounting and accounting software., • Knowledge of ADP payroll is a plus., • Ability to maintain records, both manually and electronically, and to prepare/present oral, written and graphic reports, correspondence, etc., • Ability to communicate effectively, both orally and in writing, and in work teams., • Ability to maintain effective working relationships with people of diverse backgrounds and perspectives, including supervisors, associates, outside agencies and the general public. Education/Experience • Two or four-year degree in accounting, business administration or related field of study, preferred or equivalent relevant experience., • 0 to 2 years+ of financial or related professional experience., • Non-profit experience is preferred.
