We operate a fast‑growing transactional law practice focused on real estate, construction, and business deals. Many of the skills developed in estate planning and probate—managing complex documents, working with real property and entity records, coordinating filings, and maintaining absolute attention to detail—translate directly into high‑level transactional legal work. We are onboarding new clients at a rapid pace and need a “Certified Do‑er” to work directly with the Firm owner to help us deliver an exceptional service experience as efficiently as possible while continuing to grow the business. This is what we can tell you about the job: Communication and Efficiency • Help us communicate with potential new clients to gather information, schedule meetings, and execute our onboarding process, • Work directly with the Firm owner to plan and manage client projects, including your role in them, using time‑blocking and other productivity techniques, • Coordinate schedules and interface with online scheduling systems, • Respond in a timely and professional manner to client phone calls, messages, and other communications, • Execute non‑billable support tasks that free attorneys to focus on billable work, including scanning and filing mail, reviewing billing entries, generating reports, and managing firm admin workflows Document Drafting, Automation, and Generation • Prepare initial drafts of legal documents and correspondence based on existing templates, • Apply skills developed in estate planning and probate—accurate data intake, document consistency, and execution tracking—to transactional matters, • Develop and maintain document automation templates and workflows in Smokeball, the firm’s practice management platform, • Coordinate electronic signatures through AdobeSign, SignIT/DocuSign, and similar platforms, • Incorporate client information into form documents using mail merges, document automation tools, and manual methods when required Filings and Records Management • Perform state and county‑level filings related to real estate, business entities, and transactional matters, • Utilize experience with courts, clerks, and county records to ensure filings are accurate and timely, • Assist with ongoing compliance and record‑keeping for client matters Key Personal Qualities • Penchant for organization, approaching the point of obsession, • Attention to detail, • Discretion and good judgment, • Curiosity and eagerness to learn new subject matter, • Comfort adapting skills from one practice area to another, • Professional presence when interacting with clients, agencies, and other stakeholders, • Team‑focused, honest, loyal, resilient, and unflappable Required and Desired Skills and Abilities • Fluency in Microsoft 365 and Office Suite (Word, Excel, Outlook, OneDrive, SharePoint, Teams); RingCentral; Zoom; 8am/LawPay; ScanSnap, • Located in Fort Worth, Texas, or nearby, with reliable transportation, • Prior experience as a paralegal or legal assistant in an estate planning or probate practice strongly welcomed, • Experience with practice management and document management systems (Smokeball experience strongly preferred), • Ability to manage multiple deadlines and competing priorities, • Strong written and oral communication, • Ability to work independently without constant supervision, • Ability to be direct, firm, and polite, • Willingness to figure things out and expand your skillset, • Desire to be excellent at your job and help others do the same Desired Experience • Estate planning or probate paralegal or legal assistant, • Experience involving real property records, business entities, trusts, or family partnerships, • Prior transactional, real estate, or corporate exposure a plus Compensation and Work Requirements • Compensation DOE with base salary range of $65,000–$90,000, plus bonuses based on contribution and performance, • Mileage reimbursement for driving requirements, • Equal opportunity employer, • Full‑time, in‑person 8:00am–5:00pm M–F, with limited hybrid option if earned, • 10 paid holidays + 10 paid vacation days (accrued), • Flex‑time scheduling available based on performance, • At‑will employment with 30‑day trial period, • Confidentiality and non‑disclosure agreement required, • Must verify work eligibility and pass background check Start Date Immediate
