Job Description Executive Assistant & Director of Operations Rachel Gallegos + The Edit | Compass | Denver, CO (In-Person) Full-Time | Active Colorado Real Estate License Required Why We Need You We are a high-volume, top-producing real estate team at Compass in Denver, CO, and we are looking for an experienced Executive Assistant and Director of Operations to be the engine behind everything we do. This is not a junior support role, it is a leadership position for someone who thrives in a fast-moving environment, takes ownership of complex systems, and can manage the full lifecycle of listings, transactions, and team operations without being micromanaged. You will serve as the operational backbone of the team: managing team and day-to-day operations, active listings from onboarding through close, keeping transactions on schedule, coordinating and distributing marketing initiatives, and ensuring nothing falls through the cracks. Key Responsibilities Listing & Transaction Management • Track team and client deadlines and communicate necessary updates, • Manage the full listing lifecycle from onboarding through close, handling all administrative aspects and ensuring every milestone and listing timeline is on schedule., • Oversee all listing coordination, scheduling, MLS input, marketing distribution, contract documentation, and transaction deadlines with accuracy and attention to detail, • Serve as the primary point of coordination between clients, agents, vendors, and the brokerage throughout each transaction, • Maintain consistent seller communication, including weekly activity updates, showing feedback, and marketing performance summaries, • Handle all close-out processes and ensure every client relationship is properly transitioned and documented at the finish line New Development Projects • Support ongoing new development partnerships by managing project-level spreadsheet tracking, builder communications, and listing activity reporting, • Maintain detailed records for multi-unit developments and keep the team aligned on inventory, timelines, and unit availability, • Pull and analyze site plans for property details and pricing insight, • Attend weekly developer meetings, capture action items, and ensure follow-through across the team Marketing Execution • Oversee and assist in the execution of the team's monthly marketing calendar across email, print, and social channels, • Assist in executing marketing strategies for listings, events, and branding, • Coordinate digital and print property marketing packages from onboarding through close, ensuring all materials are accurate, on-brand, and delivered on time, • Manage client relationships through in-person events, closing gifts, holiday outreach, and home anniversary follow-ups, • Plan and host open houses, manage guest follow-up, and funnel leads back into the team's pipeline, • Support in designing marketing collateral using Canva and Compass marketing center Client & Buyer Support • Provide responsive, high-quality support throughout the buyer experience from initial tours through inspections, closing, and follow-up, • Coordinate schedules via ShowingTime and Google Calendar ensuring consistent communication to keep every transaction moving smoothly, • Conduct showings as needed and represent the team professionally in all client-facing interactions Operations & Administration • Keep the team's systems, trackers, and digital infrastructure organized, current, and easy for anyone to navigate, • Manage the CRM, financial records, and business operations with a high degree of accuracy and consistency, • Anticipate operational needs, identify gaps before they become problems, and continuously improve how the team runs, • Support executive-level scheduling, communications, and project management so the lead agent can stay focused on the business Qualifications & Skills • Proven experience in real estate operations, transaction coordination, or executive assistance, ideally with a high-volume team, • Strong working knowledge of Denver's real estate market, MLS practices, and contract processes, • Experience with CTM eContracts, ReColorado and IRES, ShowingTime, CRM platforms, Google Suite, Canva, and project management systems like Monday.com or similar., • Exceptional organizational skills and the ability to manage multiple active transactions and priorities simultaneously, • Strong written and verbal communication skills: you will be handling client-facing communication, listing descriptions, marketing, and team updates, • Self-directed and solutions-oriented; you stay ahead of problems and come with answers, not just questions, • Comfortable conducting showings and open houses Requirements • Active Colorado real estate license required, • Minimum 5 years of real estate operations or executive support experience required; previous real estate sales experience is a strong plus, • Valid driver's license and reliable personal vehicle required; this role involves regular travel to listings, open houses, vendor meetings, and client appointments throughout the Denver metro area, • Flexible availability including some evenings and weekends What Success Looks Like In the first 90 days, you own the systems. You know where everything lives, every timeline is tracked, and the team is not chasing you for updates, you are ahead of them. Listings launch on time, clients receive consistent communication, and nothing falls through the cracks. You have made the role yours. Compensation Structure This is a 1099 independent contractor position. Pay is dependent on experience; candidates with a strong real estate operations background and a proven track record will be compensated accordingly.
