Job Description The Receptionist/Administrative Assistant will perform essential record-keeping functions and a variety of administrative and clerical tasks. Responsibilities include supporting the Executive Assistant, Accountant, Office Manager, and Executive Board, assisting with daily office needs, and maintaining a well organized, stocked, and smooth running office environment. Key duties include answering phone lines, maintaining filing systems, and completing other office tasks as needed. The ideal candidate will have excellent communication skills and the ability to multitask and prioritize work effectively.. Responsibilities: • Primary staff member greeting guests and members to the office, • Primary staff member answering and directing incoming calls, • Organize, file, retrieve, and compile documents, • Provide clerical support to other staff as well as executive board, • Respond to member inquiries as directed, • Assist in the preparation of reports, • Strong knowledge of principles and procedures of managing records and files, • Understanding of general office terminology, procedures, equipment, and clerical techniques, • Ability to understand and follow oral and written instructions, • Ability to learn assigned tasks readily, • Ability to utilize computer systems, especially as they relate to record and database management, • Ability to establish effective and productive working relationships, • Proficiency in Microsoft Office (Word, Excel, and Outlook) including knowledge and proficiency with mail merges, • Basic book and record-keeping experience, • Excellent time management skills and the ability to efficiently and effectively prioritize work, • Strong organizational skills with the ability to multi-task, • Ability to maintain discretion and confidentiality with regard to sensitive information The position includes health insurance coverage and various other benefits, including dental and optical benefits, comparable to those provided to our members working in Suffolk County government. The Receptionist will receive a competitive salary with annual pay raises in line with those we have contractually secured for our own members.
