Staff Accountant Summary: Assist the finance department with the general accounting functions. This includes completing timely and accurate daily, monthly, and yearly tasks, projects, and reports. The Accounting Associate will also serve as a backup for Accounts Payable. There will be some limited supervision involved over the Accounting Clerk with regards to processing purchase requisitions. This is a non-exempt position, with the starting salary of $51k. Hours are Monday – Thursday 8:00 am to 5:30 pm. Essential Duties • Works with the Accounting Clerk to ensure all payables are accurately entered and paid timely., • Performs day-to-day financial transactions, including verifying, classifying, computing, posting and recording accounts payable data., • Vendor Management: Monitors vendor discount opportunities; verify federal id numbers; schedules and prepares A/P checks; payment discrepancies; ensures credit is received for outstanding memos; issues stop-payments or purchase order amendments., • Accurately charges expenses to the correct GL accounts and appropriate location, program, funding source, and grant line items (collectively called Dimensions)., • Reconciles the accounts payable ledger to ensure that all payments are accounted for and properly posted., • Performs other accounts payable duties considered necessary., • Ensure credit cards are being correctly coded and supported with proper receipts through bi-monthly monitoring procedures., • Conduct daily or weekly import of all credit card transactions into Intacct accounting software and ensure any un-coded or unsupported expenditures are addressed., • Serve as the liaison for issuing new cards, collecting old cards, and monitoring/adjusting credit limits on various personnel., • Performs other credit card duties considered necessary., • Responsible for grant financial management and compliance for our some of our federal and state grants. This role will be shared with the Senior Accountant and Accounting Manager (each of those roles will oversee select grants)., • Works with Accounting Manager to create and produce grant/contract financials monthly, quarterly, annually, and as needed., • Creates and maintains grant analyses documents, such as staff coverage spreadsheets, uncovered cost documents, as examples., • Manages the assigned grants by meeting with appropriate agency personnel, producing forecasts for remaining funds, ensuring all grant expenditures are properly recorded, and ensuring grants are billed timely., • Performs other grant duties considered necessary., • Assists the Accounting Manager with select month-end close entries., • Performs other accounting duties as assigned by the Accounting Manager and as time permits., • Participates in the agency's annual Second Collection initiative. Requirements: Basic Qualifications • Bachelor’s degree in accounting preferred, but not necessary., • Three (3) to five (5) years of accounts payable, general bookkeeping, or processing of financial transactions preferred. Experience with grants is not necessary but considered a plus., • Experience in a role that involved meeting weekly and monthly deadlines., • Experience with automated accounting systems preferred. Experience with Sage Intacct considered a plus., • Non-Profit accounting experience preferred, but not necessary. Job Description JOB SUMMARY Serve as Senior Accountant in the Finance Department working with the Controller to ensure all financial obligations are met in a timely manner. QUALIFICATIONS • Bachelor in Accounting or closely related field, • Minimum of 5 years of experience in an accounting office, • Familiarity with ADP a plus ESSENTIAL FUNCTIONS • Responsible for system wide Accounts Payable System by being accountable for the review of invoices as well as processing check requests by sorting, organizing and matching bills along with researching check requests. Completing the administrative activities of setting invoices up for payment and processing company accounts payable checks. Resolve billing inquiries along with reconciliation of obligations and prepare analysis associated with accounts as needed. Respond to vendor’s request. Produce month to month reports when requested and process year end 1099 tax forms., • Create cash logs for all incoming funds and input into accounting system., • Reconcile bank accounts on a monthly basis., • Monitor incoming bank ACHs and create journal entries for review., • Assist in maintaining payroll system. Assist employees with learning how to print check stubs when requested from payroll system and assist in password changes. Duties and Responsibilities Accounting Operations Maintain accurate financial records in QuickBooks for multiple related business entities. · Process and manage Accounts Payable, including vendor onboarding, invoice entry, payment scheduling, and expense categorization. · Manage Accounts Receivable, including invoicing, collections, payment application, and customer account reconciliation. · Perform monthly bank and credit card reconciliations across multiple accounts. · Assist in preparing and completing the month-end and year-end close processes.
