Job Description Summary/Objective The Staff Accountant is responsible for preparing multi-state and local sales tax returns, and performing other accounting functions, on behalf of PayrollOrg and its affiliated companies. The successful candidate will also maintain business license filings, balance sheet reconciliations, and assist with financial reporting. The Staff Accountant must be a self-motivated individual with the aptitude to perform in a deadline-driven, results oriented environment. Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Prepares sales tax returns, business tax reporting and personal property tax reporting, and maintains related documentation, • Processes customer sales tax exemptions from the association software into the third-party sales tax processing system, • Schedules and reconciles assigned balance sheet accounts and maintains related backup, including bank reconciliations, prepaid taxes, tax liability payable, and sales tax payable, • Prepares and maintains property and equipment schedules, documentation, and related depreciation calculations, • Prepares and posts related journal entries and accruals, • Participates in analysis of periodic financial and operational results, including interpretation of the current month’s results, • Sets up new state sales tax accounts as new nexus is determined, • Interprets business tax laws and applies to related business processes, • Maintains agency filing matrix and ensures filing deadlines are met, • Applies for, and maintains, sales tax exemptions for association events and resale, • Serves as primary backup for billing and posting of cash receipts as needed, • Analyzes financial data to determine accuracy, completeness, and conformance to reporting and procedural standards; investigates unusual variances, reports findings, and recommends solutions, • Assists in testing and implementing technology upgrades and enhancements, • Documents workflows and procedures and makes recommendations for improvements, • Assist with the preparation, administration, consolidation, and analysis for the annual budgeting processes, • Prepares worksheets and analysis for annual independent audit, • Responsible for special projects as assigned, • Solid knowledge of Generally Accepted Accounting principles (GAAP) and internal control procedures, • Proficient in the use of accounting software utilization, • Intermediate proficiency in MS Office including Outlook, Excel, and Word (Access a plus), • Ability to self-learn other software platforms, make suggestions, and implement required changes, • Bachelor’s degree in accounting, finance, or related field, or equivalent experience, • 3 years of relevant accounting experience, • Experience managing sales tax, business, and property tax returns, and required filings, • Multi-state tax experience, • Cost accounting experience in multiple companies and profit centers, • Internal: Key stakeholders of the company with regular interaction with Customer Service, Education, Executive Office, Legal, Property Management, Shipping and Receiving, and Technology Department team members. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Requires prolonged sitting, walking, and standing depending on the job tasks with bending, stooping, pulling, pushing, crouching, and stretching, and lifting to 20 lbs. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other technology equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Prolonged exposure to computer monitors. Normal office environment.
