Job DescriptionJob Summary/Company: Sparks Group has partnered with a leading credit union to identify a highly skilled Senior Administrative Assistant to support their President/CEO and senior executive leadership team. This is a high-visibility role supporting top-level leadership, requiring exceptional judgment, professionalism, and the ability to proactively manage complex scheduling, communications, and workflow priorities. The ideal candidate is a seasoned administrative professional with strong organizational instincts, excellent communication skills, and the ability to serve as a trusted liaison between executive leadership and internal/external stakeholders. In addition to executive support, this role will also oversee workflow coordination for administrative assistants supporting senior executives. Responsibilities: • Provide comprehensive administrative and project support to the President/CEO and senior management., • Manage executive calendars, meetings, appointments, and communications., • Anticipate scheduling conflicts and manage deadlines proactively., • Screen calls, route inquiries, and professionally represent the executive office., • Sort and prioritize executive correspondence., • Arrange and coordinate on- and off-site meetings, including logistics, materials, agendas, and minutes., • Maintain official corporate files and documentation in compliance with regulatory requirements., • Participate in organizational projects, audits, initiatives, surveys, and strategic planning., • Prepare and distribute materials for senior management and executive committee meetings., • Coordinate workflows and scheduling for administrative assistants supporting senior executives., • Serve as a team lead—providing coaching, direction, onboarding, and performance input., • Support hiring and evaluation processes for administrative support roles., • Draft, edit, and prepare confidential communications, reports, and presentations., • Compile data and prepare reports through research, surveys, and interviews., • Represent the executive office with internal teams, board members, business partners, and external organizations., • Assist with budget preparation and petty cash reconciliation., • Coordinate travel arrangements, hospitality, and conference planning., • Support project teams focused on organizational improvements and strategic initiatives., • Maintain confidentiality and compliance with organizational policies and regulatory standards. Qualifications/Background Profile: • Associate degree required; bachelor’s degree preferred., • Minimum 5 years supporting senior executives in a complex or multi executive environment., • Minimum 2 years providing workflow leadership or overseeing administrative staff., • Strong proficiency in Microsoft Office (Word, Excel) and digital collaboration tools., • Ability to type 60+ WPM; dictation/transcription experience preferred., • Excellent written and verbal communication skills., • Strong analytical, organizational, and problem solving skills., • Ability to handle sensitive, confidential information with discretion., • Must be available to work outside standard business hours as needed. This job is In-Person.
