Job Description Address: New Brunswick, New Jersey Direct Hire Position OverviewWe are seeking a bilingual (Spanish/English) Payroll and Recruiting Administrator to join our team and manage all aspects of payroll processing and talent acquisition. This role requires fluency in both Spanish and English to effectively serve our diverse workforce and candidate pool. The ideal candidate will ensure accurate and timely compensation for all employees while attracting, screening, and onboarding top talent, all while maintaining compliance with federal, state, and local regulations.Compensation$45,000 - $60,000 annually, commensurate with experienceKey ResponsibilitiesPayroll Processing • Process multi-state payroll accurately and on schedule for all employees (salaried, hourly, and contract workers), • Review and verify timesheets, attendance records, and paid time off requests, • Calculate wages, overtime, bonuses, commissions, and other compensation, • Process garnishments, tax levies, and other payroll deductionsRecruiting Talent Acquisition, • Develop and post job descriptions in both Spanish and English across multiple recruitment channels, • Source, screen, and interview candidates for various positions, • Conduct bilingual phone screens and coordinate interview schedules with hiring managers, • Manage the applicant tracking system and maintain candidate pipeline, • Conduct reference checks and background screenings, • Extend job offers and negotiate compensation within approved ranges, • Build relationships with community organizations, job boards, and recruitment agencies serving bilingual populationsOnboarding Employee Support, • Coordinate comprehensive new hire onboarding process in both Spanish and English, • Process new hire paperwork, I-9 verification, and ensure completion of all required documents, • Respond to employee inquiries regarding pay, deductions, tax matters, and employment questions in both Spanish and English, • Provide bilingual support to ensure all employees and candidates fully understand compensation, benefits, and company policies, • Assist employees with direct deposit setup and changes, • Process termination documentation and conduct exit interviews, • Translate HR, payroll, and recruiting communications and materials as neededCompliance Reporting, • Ensure compliance with federal, state, and local payroll tax laws, labor regulations, and employment laws, • Maintain accurate payroll and personnel records and documentation, • Generate payroll and recruiting reports for management, accounting, and auditing purposes, • Stay current on payroll, employment, and recruiting-related legislation and best practices, • Ensure EEO/AA compliance in all recruiting activitiesSystem Management, • Maintain and update payroll systems, HRIS, and applicant tracking systems, • Reconcile payroll accounts and resolve discrepancies, • Assist with year-end processing including W-2 preparation and distribution, • Support internal and external audits related to payroll and employment practicesQualificationsRequired, • Bilingual fluency in Spanish and English (written and verbal communication) - REQUIRED, • Ability to professionally communicate complex payroll, benefits, employment, and recruiting information in both languages, • High school diploma or equivalent, • 2+ years of combined experience in payroll processing and/or recruiting/HR functions, • Strong knowledge of payroll principles, tax regulations, and labor laws, • Understanding of full-cycle recruiting processes, • Proficiency in payroll software (ADP, Paychex, or similar systems) and applicant tracking systems, • Advanced Microsoft Excel skills, • Excellent attention to detail and accuracy, • Strong organizational and time management abilities, • Ability to manage multiple priorities simultaneouslyPreferred, • Certified Payroll Professional (CPP) designation or Professional in Human Resources (PHR) certification, • Experience with HRIS and ATS systems integration, • Knowledge of multi-state payroll processing and employment laws, • Experience recruiting for bilingual positions and serving diverse candidate populationsSkills Competencies, • Fluent bilingual communication skills in Spanish and English, • High level of confidentiality and professionalism, • Strong analytical and problem-solving skills, • Ability to work independently and meet strict deadlines, • Excellent cross-cultural communication and relationship-building skills, • Customer service orientation with ability to serve diverse populations, • Ability to handle sensitive information with discretion, • Strong interviewing and candidate assessment skills, • Adaptability and ability to shift between administrative tasks and strategic recruiting activitiesBenefits, • Health, dental, and vision insurance, • 401(k) retirement plan, • Paid time off and holidays, • Professional development opportunitiesNote: Bilingual Spanish/English proficiency is an essential requirement for this position to effectively communicate with and support all members of our workforce and to reach and engage diverse candidate populations.
