The Chief Operating Officer (COO) is responsible for overseeing and improving the Firms day-to-day operations, people, systems, and processes to support growth and profitability. The COO ensures operational excellence, effective team management, and alignment between departments to achieve the Firms strategic goals. Duties and Responsibilities Operational Leadership: • Oversee daily firm operations, ensuring consistent, efficient performance across departments., • Design, implement, and refine firm systems, policies, and procedures to enhance productivity and client service., • Identify and eliminate inefficiencies in workflow, communication, and technology utilization., • Ensure adherence to legal, regulatory, and ethical standards., • Supervise the firms annual and monthly budgets. Process and Systems Improvement: • Assess and refine processes in intake, case management, billing disputes, HR, and technology., • Implement performance metrics and dashboards to measure operational efficiency., • Oversee system implementation projects, including CRM, case management, HRIS, billing software, etc., • Continuously evaluate firm operations and propose improvements that align with growth objectives. Team Leadership and Development: • Advise and mentor Human Resources Manager and Accounting Manager to ensure accountability and exceptional performance., • Establish clear goals, priorities, and accountability standards for every team., • Oversee recruiting, onboarding, training, and performance management processes., • Cultivate a collaborative, professional culture consistent with the Firms values and dedication to excellence. Strategic Planning and Execution: • Collaborate with Managing Partners and leadership team on annual strategic and financial planning., • Convert firm vision and goals into actionable operational plans., • Create and oversee firm budgets, forecasts, and performance targets., • Ensure timely and accurate reporting of key business and financial metrics. Marketing, Client Service and Experience: • Promote a client-focused culture through efficient systems, clear communication, and prompt responsiveness., • Oversee client satisfaction and implement process improvements to elevate client experience., • Ensure quality control across all client-facing touchpoints, including intake. Qualifications: • Bachelors degree required; MBA or advanced degree preferred., • Minimum of 5 years of experience overseeing financial, operations, and senior management functions, including marketing management., • Demonstrated track record of enhancing systems, optimizing processes, and elevating team performance within a service-oriented firm., • Experience in a professional service preferred, law firm experience a plus., • Exceptional leadership, communication, and organizational skills., • Highly analytical and data-driven with a focus on measurable outcomes., • Proficient in operational and financial management tools., • Experience with QuickBooks Desktops required., • Clio Manage and Grow knowledge a plus., • Must be available to work onsite in San Antonio, Texas.
