Job DescriptionSafety Administrative Assistant (Warehouse / Logistics / Manufacturing / Construction) Contract to hire position, Monday - Friday, 7am or 8am start time Compensation: Up to $25/hr Position Summary The Safety Administrative Assistant supports the site's Environmental Health & Safety (EHS) function by maintaining accurate safety documentation, coordinating training, tracking compliance, and providing administrative support to safety leadership. This role ensures seamless communication between operations, supervisors, and employees while helping maintain a safe and compliant work environment. Key Responsibilities Safety & Compliance Support • Maintain and update safety logs, incident records, near-miss reports, OSHA documentation, SDS files, and inspection checklists., • Assist with organizing, tracking, and scheduling mandatory safety trainings, certifications, and equipment fit-tests., • Support site audits, compliance reviews, and safety inspections by preparing documentation, checklists, and follow-up reports., • Coordinate the distribution, collection, and proper filing of safety forms, permits, and regulatory documents., • Track and request Certificates of Insurance from vendors or subcontractors when applicable (aligned with construction admin duties found in internal roles).Administrative & Operational Support, • Perform general administrative duties including filing, data entry, record management, and maintaining organized digital and physical safety records (similar to expectations in warehouse admin postings)., • Support communication between supervisors, employees, and external partners regarding safety notices, training reminders, and policy updates., • Manage calendars and schedule safety meetings, toolbox talks, and site walkthroughs., • Assist with visitor, contractor, and vendor check-in processes and ensure proper distribution of PPE and orientation materials - similar to duties in operations/plant-support roles., • Prepare reports, spreadsheets, dashboards, and summaries for leadership; verify data accuracy prior to submission., • Monitor and organize inventory of safety materials such as PPE, spill kits, and first-aid supplies.Logistics / Manufacturing / Construction Site Coordination, • Support coordination of site traffic, vendor entry, and compliance with facility safety rules (inspired by manufacturing/plant office assistant data)., • Assist with job hazard analysis documentation, lockout/tagout logs, equipment inspection sheets, and daily safety checklists., • Help prepare onboarding materials for new hires including safety orientation packets and badge access documentation.Required Skills & Qualifications, • 2+ years administrative experience, preferably supporting safety, operations, logistics, manufacturing, or construction teams., • Strong understanding of workplace safety principles (OSHA, DOT, EPA, or industry-specific standards)., • Excellent attention to detail, organization, and documentation accuracy (reinforced by skill patterns seen in internal admin roles)., • Proficiency with Microsoft Office (Word, Excel, Outlook), digital filing systems, and basic database entry., • Ability to communicate clearly with employees at all levels and maintain confidentiality., • Comfortable working in office environments adjacent to active industrial, warehouse, or construction areas., • Ability to manage multiple deadlines in fast-paced operations.Preferred Qualifications, • Experience in EHS, safety coordination, or administrative support within industrial environments., • Familiarity with SDS systems, OSHA recordkeeping, workplace safety training platforms, or contractor management systems., • Experience assisting with audits, compliance tracking, or document control processes.Pay Details: $22.00 to $25.00 per hour Search managed by: Brittnee Gonzalez Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
