Job DescriptionJob Title: Certified Payroll Reporting Specialist Job Description The Certified Payroll Reporting Specialist manages all aspects of certified and union payroll reporting across multiple states, ensuring accurate, timely, and compliant submissions each week. This role maintains detailed tracking of payroll report status, resolves discrepancies, and serves as a key liaison between internal teams, employees, prime contractors, and government agencies. The position also supports HR with onboarding and contributes to EEO reporting, providing a stable, full-time opportunity within a growing company that combines a local team atmosphere with a broader national presence. Responsibilities • Prepare, submit, and verify certified payroll reports weekly for the previous week’s work across multiple states, using various submission methods and platforms., • Learn and apply all methods of submitting certified payroll reports for different states, including online portals, email-based forms, and tracking systems such as state-specific CPR sites, LCP Tracker, and other required forms., • Maintain a comprehensive certified payroll tracking spreadsheet so the status of each report is clear, current, and accessible at any time., • Maintain and organize all correspondence related to payroll and certified payroll reports, including communications with employees, prime contractors, and government contacts., • Monitor the payroll-related email inbox regularly and respond to or resolve each item in a timely and professional manner., • Investigate and resolve any discrepancies on payroll or certified payroll reports, coordinating with internal stakeholders and external contacts as needed., • Support HR with onboarding of new hires by assisting with payroll-related setup and ensuring accurate information flows into payroll and reporting systems., • Assist with EEO reporting requirements related to payroll and certified payroll reporting, ensuring accurate data collection and submission., • Perform union payroll processing, including data entry and reporting, in accordance with union requirements and applicable regulations., • Execute accurate data entry for payroll and related systems, maintaining high attention to detail and data integrity., • Collaborate with project accountants, operations, and other team members to ensure payroll information aligns with project and job cost requirements., • Adapt to seasonal fluctuations in payroll volume, managing heavier weekly payroll loads during peak season and supporting additional administrative tasks, such as benefits and insurance, during slower months.Essential Skills, • 3–5+ years of certified payroll reporting experience., • Demonstrated experience preparing and submitting certified payroll reports for multiple states., • Hands-on experience with union payroll processing., • Proficiency with LCP Tracker or similar certified payroll tracking platforms., • Strong payroll data entry skills with high accuracy and attention to detail., • Ability to manage and maintain tracking spreadsheets for payroll report status., • Experience communicating with employees, prime contractors, and government agencies regarding payroll and reporting., • Ability to identify, research, and resolve payroll and certified payroll discrepancies., • Capability to support HR-related processes, particularly onboarding as it relates to payroll setup., • Organizational skills to manage weekly payroll cycles and multiple concurrent reporting deadlines., • Proficiency using email and standard office software for communication and documentation.Additional Skills & Qualifications, • Experience with EEO reporting related to payroll data., • Familiarity with multi-state payroll reporting requirements and processes., • Comfort working with seasonal fluctuations in employee headcount and payroll volume., • Strong interpersonal skills to collaborate with a close-knit office team., • Ability to work independently while maintaining clear communication with finance, operations, and project teams.Work Environment This is a full-time, onsite role based in a Minnesota office that operates five days a week. The company maintains offices in Minnesota, Wisconsin, South Dakota, and Iowa, with this position primarily located in a smaller Minnesota office and the option to work from an additional nearby office as needed. The local office team includes an estimator, operations manager, project manager, several project accountants, full-time mechanics, and a payroll lead. The environment is quieter, with limited customer or vendor foot traffic, and the team is personable, often eating lunch and taking breaks together. Payroll runs weekly, with approximately 200 or more employees during peak season from May through November, resulting in a higher volume of certified and union payroll activity. During winter months, payroll volume slows as field work decreases, but the role remains a consistent 40 hours per week, with time devoted to additional tasks such as benefits and insurance-related work. The work is performed in a typical office setting using standard office technology, payroll systems, tracking spreadsheets, and online reporting platforms. Job Type & Location This is a Contract position based out of Minneapolis, MN. Pay and Benefits The pay range for this position is $25.00 - $32.00/hr.
