Estate Secretary Full-Time | Estate Office | Office-based position We are seeking a dedicated and highly organised Estate Secretary to join our Estate Office team. This key role supports the Resident Agent and wider Estate team managing the full lettings process for Estate properties, assist with HR procedures and provide confidential administrative support. The ideal candidate will be an efficient, people-focused administrator with a strong lettings foundation and an exceptional attention for detail. They should be adaptable, dependable, proactive in problem-solving and committed to ensuring both compliance and excellent service delivery across the estate. Main Responsibilities Lettings Management • Manage the complete lifecycle of property lettings, from tenant departure to re-letting., • Arrange and undertake property viewings, prepare letting details, credit checks, ensure all statutory compliance is in place, and liaise with contractors, agents, and utility providers., • Prepare tenancy agreements, manage deposits, hand over properties to new tenants, and maintain accurate records., • Coordinate with Accounts regarding rent payments, arrears, monthly rent reviews and maintaining accurate records in the Property Management system. HR & Personnel Support • Assist with staff recruitment processes, including advertising roles, arranging interviews, reference checks, and preparing offer letters and contracts., • Maintain personnel files, holiday and sickness records, and prepare staff correspondence when required., • Support the Resident Agent in promoting best personnel practices across the Estate. Office & Administrative Duties • Provide reception cover, handle telephone enquiries, meet and assist visitors., • Support day to day operations across departments., • Prepare correspondence, agreements, and documents as required., • Update the Estate website with property listings and job vacancies., • Liaise with the Building Maintenance Department where applicable and ensure general office administration runs smoothly. About You We are looking for someone who demonstrates: • Excellent organisational and administrative skills., • Ablility to manage multiple tasks and deadlines across lettings, HR, and office administration., • Strong communication across all channels – telephone, email and in person., • Strong background in lettings, including familiarity with the full lettings process and associated compliance requirements., • Professionalism and discretion when handling confidential matters., • Confidence working independently and managing multiple responsibilities., • Experience supporting or collaborating with multiple internal teams., • Experience in HR administration (advantageous but not essential)., • Detail-oriented and confident handling paperwork, documentation, and file maintenance., • Proficient in Microsoft Office and IT systems., • Candidates must hold a full, clean driving licence and have use of own vehicle. Salary The salary will be in the region of £34000 per annum according to experience Working Hours Monday to Friday, 9.00am to 5.15pm with one hour unpaid for lunch. (Hours may be open to discussion).
