MOO set out to shake up the world of print back in 2006. And weve come a long way since. Today were a 400 strong team (were thinking of getting matching jackets) who create print and digital products for companies of all sizes from Google and AirBnB to the guy who makes those amazing prints you found at a craft fair.Our global HQ is in London UK while we also have premises in the US youll find us in Boston MA as well as East Providence RI and Denver CO. Were making new and exciting things and we could really do with your help. As an Office Manager at MOO you will play a key part in the smooth operation of our London office. Youll support MOOs objectives and contribute to broader departmental goals. This role involves managing a diverse range of tasks with a moderate level of complexity. We expect you to be a collaborative team member actively participating in group efforts bringing innovative ideas to the table and continuously seeking ways to enhance our processes and environment. Youll analyze information to understand challenges fully identifying and assessing various solutions to resolve problems effectively within your scope. We are looking for a bright friendly and extremely organised Office Manager to join the team and be the face of MOO London! This is a fantastic opportunity for someone whos used to managing a busy office and enjoys running a variety of fun events and facilities management. We are looking for someone who is ruthlessly efficient switched on and enthusiastic with a brilliant set of office skills. Youll have tons of initiative enjoy being proactive and be happy to work on your own at times. This is an onsite role. Theres never a dull moment at MOO so youll be kept on your toes with a variety of tasks to keep things interesting. • Office Management and Liaison, • Day to day management of the office environment - taking pride in creating a vibrant well-organised and well-presented working environment., • Grocery orders and lunches for both Camden and Dagenham, • Meeting and greeting Camden visitors when needed and being the point person for LABS building management., • Maintaining and ordering office supplies and groceries for both our London office and Dagenham warehouse., • Accepting and sorting mail and deliveries and assisting in outgoing shipping., • Ensuring any maintenance issues are escalated and resolved quickly., • Ensuring that all office equipment is in good working order and work closely with the IT tech support team to ensure that all devices are in working order., • Point of contact for meeting rooms., • Liaising with and managing relationships with third-party suppliers including contract management., • Assisting in ad hoc administration tasks as needed including: helping book travel helping manage calendars., • Assisting with hotel booking and maintaining relationships with Camden hotel partners., • Ensuring we have the necessary level of trained first aiders and fire wardens in both our Camden Clubhouse and our Dagenham Warehouse, • Ensuring that all Health & Safety requirements are in place potentially getting qualified as needed (ISOH or NEBOSH accredited or willing to get certified)., • Expense report preparation and budget management., • Researching venues for offsites/meetings/restaurants and wider group/cultural activities as needed., • Managing office & event yearly budgets., • Planning events and overseeing office social activities including the annual summer and winter parties working with our other locations, • Planning and leading smaller regular office celebrations with creative ways to enhance employee happiness: desk drops lunches treasure hunts workshops yoga classes etc., • Supporting our JEDI leads when they are hosting events in the office., • Supporting our Camden onboarding for new MOOsters, • Previous Office management experience required, • Excellent communication skills - you keep people up to date and if anything youre known to over communicate., • Smart vibrant enthusiastic and personable professional but fun!, • Understand that customer service is key - both internally and externally., • Amazing attention to detail - youre brilliant at thinking two steps ahead but also like to double check your work!, • Excellent organisational skills but unflappable if things dont quite go to plan., • Ability to work under your own initiative - a proactive (rather than reactive) approach to your work., • Ability to prioritise your workload and meet deadlines - youll need to multitask and be a great juggler!, • Google Calendar and the Google Suite skills (Docs Sheets Slides)., • A keen interest in maintaining and developing MOOs Culture and Values and acting as a brand ambassador., • An interest in supporting internal communications and events, • You will leverage your experience and actively involve others to understand different approaches to problem-solving leading to the generation of innovative solutions.
