This is a temporary position available until July 2027. This position will be Gourock based with a hybrid working model in place which will see a minimum of 2-3 days in the office Role Overview The Contracts and Supplier Coordinator reporting to the Senior Contracts and Supplier Manager within the Supply Chain team will provide key support in managing the Warranty and Guarantee process to ensure CalMac gains maximum value from all contractual arrangements. You will work closely with technical superintendents, vessel management teams, internal specialists and external partners including vessel owners, ship repair yards and suppliers. This role also supports wider business reporting and compliance requirements. A full UK driving licence is essential, as the position requires travel to supplier locations when needed. What you will be doing • Managing the day to day Warranty and Guarantee process, • Making sure all claim information and documentation is accurate and submitted on time, • Preparing updates and reports for key stakeholders, • Working with Solution Owners to gather the information needed for successful claims, • Tracking key performance indicators for warranty and guarantee activity, • Monitoring defect reports and safety meetings to identify potential claims, • Supporting supplier actions and negotiations with Contracts and Supplier Managers, • Keeping warranty documentation organised and accessible, • Attending supplier, shipyard and technical project meetings, sometimes chairing sessions during annual overhaul periods, • Maintaining the supplier management toolkit with accurate records of actions, commitments and progress, • Working with Finance to ensure recovered funds are recorded correctly, • Coordinating administration for the Annual Overhaul programme, • Supporting the wider team with additional duties when required. What we are looking for • Ideally HNC level qualification in a business or commercial subject, or relevant experience in a marine or engineering environment, • Strong understanding of commercial and contract management activities, • Ability to build positive working relationships internally and externally, • A full UK driving licence, • Experience or awareness of marine contracting practices is helpful, • Confident analytical and problem solving skills, • Strong communication and influencing abilities, • Good collaboration skills with a practical approach, • Excellent MS Office skills, especially Excel, Power BI, SharePoint and PowerPoint, • Able to turn discussions into clear, actionable notes, • Marine industry experience is beneficial but not essential.
