Job Description Overview Provide high-level support as an Executive Assistant, helping create more structure, consistency, and operational relief across Ollie’s day-to-day life and business. This role is designed to reduce logistical drag, protect content creation time, and support smoother execution across scheduling, travel, communication flow, and personal operations. Content support may be needed at times, but it is not the primary function of this role. The majority of the position will be focused on scheduling, logistics, operations, administrative support, and day-to-day execution. The right person should be flexible and ready to step into content-related support when needed, while staying grounded in the broader operational role. This is not a passive assistant role. The right person will help create order behind the scenes, anticipate needs, think ahead, and make it easier for Ollie to stay focused on the highest-leverage parts of his work: creating content, showing up as talent, and building the next phase of his career. This role will likely feel somewhat random in the beginning in terms of workload, timing, and day-to-day needs. That is expected. We are actively working toward more structure, clearer systems, and more defined workflows over time, but in the early phase this role requires flexibility, responsiveness, and a willingness to step into a dynamic environment as it gets built out. Role Purpose The purpose of this role is to free up time, reduce mental clutter, and improve consistency across both personal and professional operations. This person will work closely with Ollie and Content Director as part of a tag-team support structure: ● Content Director continues shifting more heavily toward content execution and creative support ● The Executive Assistant takes on more of the logistical, scheduling, administrative, and day-to-day operational load ● Over time, this person may grow into a more high-leverage operations partner who can take over an increasing share of the backend responsibilities that currently pull attention away from content and acting Role Structure, Availability & Growth Path ● This role will begin on an hourly basis as an independent contractor ● Compensation range is $25–$30 per hour depending on skill set, experience, and level of usefulness in the role ● The workload may vary significantly week to week in the beginning ● Some weeks may be lighter and more logistics-based, while others may require more hands-on support, responsiveness, or last-minute coordination ● A strong ability to be available, flexible, and effectively on call is important ● This is a strong fit for someone who can be ready at a moment’s notice when needed and still stay organized behind the scenes ● The goal is to evolve this role into a more consistent and potentially full-time position over time as trust is built, skills are developed, and the operating structure becomes more defined ● The right person someone who views this as purely transactional or just another shift-based job Scheduling & Calendar Support ● Assist in maintaining daily and weekly schedules with strong attention to detail ● Coordinate appointments, meetings, workouts, content blocks, travel timing, and personal commitments ● Ensure timely reminders and smooth transitions between commitments ● Support last-minute schedule adjustments and prioritization when plans shift ● Help protect time for filming, editing coordination, prep work, recovery, and personal priorities ● Work with Content Director to keep the calendar realistic, organized, and aligned with current priorities ● Help create more intentional weekly structure so important work does not get crowded out by reactive tasks Travel & Logistics Coordination ●Assist with booking and organizing flights, hotels, cars, reservations, and transportation ●Prepare clear, detailed travel itineraries ●Coordinate confirmations, timing, check-ins, and day-of travel logistics ●Support packing lists, outfit planning coordination, and overall travel readiness ●Help ensure travel only adds value and does not create avoidable friction or wasted time ●Keep travel details organized and easy to reference at all times Content Support & Organization ●Assist with shoot preparation, including outfits, props, locations, call times, and content notes ●Help organize shot lists and content needs for each day ●Support filming-day readiness so Ollie can focus on performing rather than scrambling ●Coordinate basic content capture when needed ●Help keep content-related materials, notes, and timing organized behind the scenes ●Support smoother handoff between content ideas, filming, editing, posting, and follow-through ●Assist with feed-planning support and general content organization when needed Production Assistance ●Help manage shoot timelines and keep moving parts on schedule ●Assist with basic equipment setup, breakdown, and organization when needed ●Support communication between Ollie, Content Director, editors, collaborators, stylists, managers, and any other involved parties ●Handle small but important production tasks that keep the workflow moving efficiently ●Be calm, resourceful, and useful on active content days Event Coordination Support ●Assist with event preparation, including timing, attire coordination, confirmations, and logistics ●Coordinate arrivals, check-ins, transitions, and supporting details during events ●Provide on-site support to ensure smooth attendance and execution ●Help reduce friction around event-day logistics so Ollie can stay focused and present Administrative Support ●Handle general administrative tasks as assigned with speed and reliability ●Organize documents, notes, inbox items, confirmations, and daily priorities ●Help maintain clear communication across ongoing tasks and responsibilities ●Support manager communication flow by helping organize incoming information, surface options, and reduce unnecessary back-and-forth ●Help turn scattered inputs into clear next steps and organized choices ●Keep backend details clean so nothing important slips through the cracks Personal Assistance ●Support day-to-day personal needs, errands, and operational household tasks as assigned ●Assist with organization of personal items, travel essentials, daily basics, and readiness for upcoming commitments ●Help coordinate outside support where useful, including cleaning, laundry, food, home-related logistics, or other delegated tasks ●Anticipate needs proactively and help create a more frictionless daily environment ●Make life easier, not louder Task & Workflow Management ●Track daily to-do lists, open loops, and assigned follow-through items ●Help manage multiple responsibilities simultaneously without losing detail ●Maintain organization across both personal and professional areas ●Help create stronger operational consistency from week to week ●Keep priorities visible and actionable rather than vague or reactive ●Support follow-through on recurring systems, not just one-off tasks On-the-Ground Support ●Act as a reliable second point of support during busy schedules, content days, events, travel, and high-volume periods ●Troubleshoot minor issues quickly and efficiently ●Step in where needed without needing constant direction ●Help create
