The Role: The Sail Program Assistant is an integral member of the Sail Program team, responsible for a range of program-related administrative and direct support tasks. The Sail Program Assistant is expected to provide hands-on assistance to individuals served within the Sail Program, as directed by the Sail Program Manager or Director. This position requires a mix of administrative work, direct support, and occasional transportation responsibilities. The Sail Program Assistant must be adaptable, organized, and capable of interacting positively with individuals with disabilities, families, and professionals. Essential Responsibilities: • Carry the Sail Program cell phone during assigned shifts; answer and direct calls/emails to the appropriate personnel., • Greeting, welcome, and direct visitors in a professional and courteous manner., • Accompany Sail community members to appointments when medical staff or direct support professionals are unavailable., • Coordinate the retrieval and organized delivery of mail/packages from the Welcome Center to Sail community members., • Oversee staff mailboxes, ensuring all community members and staff have access and receive mail appropriately., • Manage weekly budgeting for all residents within the Sail Program, based on individual needs, with guidance from the Program Director., • Communicate relevant updates and information to program staff, Sail Program Managers, parents, and other stakeholders., • Maintain an updated inventory of cleaning supplies; coordinate with Operations to replenish stock as needed., • Ensure potluck menus are posted and communicated to all relevant parties., • Liaise regularly with the Chapel Haven Café team to ensure proper food service coordination., • Print and distribute all resident weekend plans, Chapel Haven recreational rosters, and place them in the 2nd-floor office by Friday at 4 PM., • Order office supplies using the PO process; ensure staff offices are stocked with pens, sticky notes, hand sanitizers, masks, etc., • Maintain supplies in common area restrooms (hand soap, paper towels, toilet tissue) and promptly report needs to Operations or management., • Keep an inventory record of Sail keys, lock combinations, and staff access permissions., • Coordinate with Operations to receive Sail van keys and manage the Sail van schedule., • Organize and oversee all Sail small group programming, including placing Instacart orders when needed., • Attend agency-wide staff meetings as required., • Coordinate with cleaning services for any resident families requesting additional cleaning support., • Provide transportation to individuals as needed (use of personal vehicle may be required)., • Provide program coverage or direct support when assigned by the Sail Program Manager or Director., • Complete other duties, assignments, or special projects as directed by the Sail Program leadership team. MINIMUM EDUCATION REQUIREMENTS: • Bachelor’s degree preferred; administrative experience preferred. Experience and knowledge working with individuals with disabilities preferable REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: • Administrative Experience preferred, • Ability to work with minimal direction and a team first attitude., • Is well organized, with flexibility and ability to effectively balance handling multiple assignments and tasks, • Must be detail oriented, • Must be reliable, flexible and professional, • Ability to take direction, take initiative and work within a team., • Ability to affect and maintain positive working relationships, • Valid Connecticut driver’s license, • Able to adapt to flexible nature of the position and positive work attitude, • Excellent effective judgment, decision-making and communication skills., • Computer literacy including Microsoft Excel or related programs, • Obtain/maintain in-service requirements as mandated by DDS and Chapel Haven Schleifer Center, Inc., • Ability to stand, sit, walk or climb stairs for periods of time as needed, • Ability to obtain & maintain DDS medication administration certification Do not meet every single requirement?
