Job Description The Senior Meals Kitchen & Staff Manager is responsible for leading and overseeing the day-to-day operations of Spectrum’s production kitchen, meal delivery logistics, and frontline kitchen and delivery staff for Spectrum's Title III-CI Nutrition Program (Congregate Meal Program) and Non-Title III-C Catered Meals. This role serves as the primary lead for kitchen production, meal delivery execution, and frontline staff management, overseeing a team of 10 Senior Meals staff. Key responsibilities include direct daily supervision of kitchen and delivery staff; oversight of the kitchen work flow; inventory, vendors, food safety and equipment; and ensuring uninterrupted service. The Kitchen & Staff Manager works in close partnership with the Senior Meals Program & Operations Manager to ensure kitchen and delivery operations align with program compliance, reporting, and funder requirements. Primary Responsibilities Staff Supervision & People Management - 75% Serve as the primary supervisor and decision-maker for kitchen staff and meal delivery drivers, including: • Manage the daily workflow, assignments, and performance of cooks, kitchen staff, and delivery drivers, • Hold consistent 1:1 meetings with staff to support growth, clarify expectations and reinforce policies and procedures, • Facilitate team meetings to share updates, encourage communication, and problem solve kitchen or delivery issues, • Oversee hiring, discipline, annual performance reviews, and terminations for kitchen and delivery staff (with Deputy Executive Director approval), • Onboard, coach, mentor, and cross-train staff in kitchen production, food safety, and delivery procedures, • Create staff schedules and coordinate kitchen and delivery coverage to ensure uninterrupted service, • Monitor staff engagement and address workplace issues promptly, • Set performance goals and track progress aligned with kitchen performance and delivery standards, • Recognize and celebrate staff achievements to reinforce positive culture, • Routinely visit offsite staff Lead the efficient, safe, and high-quality operation of the production kitchen and meal delivery system, ensuring workflows meet daily meal volume and service requirements. • Oversee kitchen production, food preparation, packing, and delivery, • Responsible for menu execution and recipe implementation as developed and documented in partnership with the Program & Operations Manager, • Work in partnership with the Registered Dietitian to plan and create menus that meet all nutritional guidelines and manage the required submission and approval process with funding agencies, • Train and supervise Meal Delivery Drivers, • Develop and maintain efficient routes and packing systems, • Ensure safe transport of meals, supplies and inter-office materials, • Ensure cleanliness of all transport containers and vans on a daily basis, • Supervise and assist in daily chores and preparation for next day production, • Cook meals and fill in for vacant cooking shifts Inventory, Vendors & Equipment • Serve as the primary lead for inventory management, including ordering, receiving, rotating, and storing food and supplies, • Monitor invoicing and pricing for accuracy and cost control; flag discrepancies for review in collaboration with the Program & Operations Manager, • Maintain vendor relationships and coordinate deliveries, repairs, and service schedules, • Oversee all kitchen equipment maintenance, repairs, and replacement planning, • Ensure safe and proper use of all kitchen equipment Program Operations • Support the Senior Meals Program & Operations Manager by providing insight into food safety, meal production and delivery, while following established procedures to ensure program compliance, • Assist in planning and delivering quarterly In-Service meetings, • Collaborate with site coordinators to resolve any kitchen-related or delivery-related issues impacting service delivery, • Assist and/or lead with program-related projects Project Compliance & Fundraising • Maintain kitchen production logs, delivery logs, inventory documentation, and food safety records, • Provide accurate cost, production and workflow data needed for reporting, compliance reviews, and grant development, • Serve as point of contact for kitchen and delivery related inquiries from internal teams and external partners, • Support grant proposals, contracts, or amendments by supplying kitchen and staffing-related information Communications & Public Relations • Provide accurate kitchen, meal production, and delivery information to the Development Team, • Represent the Senior Meals program at outreach events and community settings such as city council meetings, funder presentations, chamber of commerce, etc. Other Duties • Attend events/trainings/conferences outside of Alameda County as required, • Provide support during organizational events and special initiatives, • Attend all training sessions and staff meetings, • Perform other duties as assigned The minimum qualifications, physical demands and work environment characteristics described below are representative of those that must be met or will be encountered by an employee while performing the primary responsibilities of this job. We Need Someone Who Has: • A minimum of three years of institutional or high-volume kitchen leadership, including direct supervision of cooks, kitchen assistants, and/or delivery staff, • Strong leadership and people management skills, with experience in coaching, feedback, and performance evaluations, • Ability to train, mentor and motivate staff, while maintaining consistent food quality and safety protocols, • Demonstrated ability to manage inventory, vendor relationships, pricing oversight, and cost control measures, • ServSafe Manager Certified, • Valid CPR and First Aid certification prior to start date (or must obtain within 6 months of hire). Certification must be from an accredited provider recognized by the organization (e.g., Red Cross, American Heart Association)., • Knowledge of food safety regulations, including HACCP, ServSafe standards and sanitation practices, • Proficiency in culinary math skills, • Experience with recipe creation and management systems designed for nutrition programs, supporting large-quantity production and HACCP standards, • Experience coordinating maintenance and safe operation of commercial kitchen equipment, • Excellent communication skills, both verbal and written, for interacting with staff, vendors, volunteers, and partner sites, • Strong organizational and time-management skills, with the ability to prioritize in a fast paced kitchen environment, • Computer proficiency for scheduling, ordering, communicating, record keeping and meal production documentation, • Must have own transportation for use on job, valid California Driver's License, proof of personal automobile insurance and acceptable driving record to our insurance provider, • Ability to pass a physical abilities test, • Ability to read, speak and write English fluently Nice to Have: • Registered Dietitian with membership in the American Dietetic Association or a related bachelor’s degree, • CDM (Certified Dietary Manager) certification, • A strong background in food service, institutional kitchen management, and customer service is highly desired, • Bachelor or Associate degree in nutrition, food service or related field, • Bilingual/biliterate in Spanish, Cantonese or Mandarin and English Physical Demands • This work requires the following physical abilities: climbing, bending, kneeling, twisting, reaching, standing, sitting, walking, lifting, carrying, and relocating 50lbs, • Finger Dexterity for activities such as typing, use of the computer mouse, computer usage, recording money, grasping, repetitive motions, • Vision abilities required include close vision, distance vision and ability to adjust focus, • Handling kitchen equipment not limited to blazing hot ovens, blasting cold freezers, knives and open flames Work Environment • The work is primarily performed indoors and outdoors, • Able to withstand extreme temperatures, hot and cold, • The noise level in the kitchen maybe loud at times due to use of equipment, • Daily travel in Alameda County when needed, • Evening and weekend responsibilities as needed Vaccination Policy To protect the health and safety of our team, clients, and community, vaccination against Influenza is mandatory for this role, while COVID vaccination is highly encouraged.
