Job Description Benefits & Leave Specialist Job Description The Benefits & Leave Specialist serves as a key member of the Human Resources team and is responsible for the administration, employee experience, and operational execution of the organization’s benefits programs, including health and welfare plans, leaves of absence, disability, and retirement benefits. This role is highly employee facing and acts as the primary point of contact for leave management, short term disability, benefit enrollments, and ongoing benefits education. The position partners closely with the HR Business Partner, Payroll Business Partner and HR Leader to ensure alignment with department leaders and people managers, employees, and vendors, and ensures benefit and retirement data accuracy across systems, including Employee Navigator and payroll. Essential Duties and Responsibilities • Administer all employee benefit programs, including medical, dental, vision, life, disability, retirement/401(k), and voluntary benefits, ensuring accurate and timely execution across all plans., • Serve as the primary point of contact for employees regarding benefits, retirement plans, Leaves of Absence (LOA), and Short Term Disability (STD), providing clear, empathetic, and timely communication., • Manage the end to end leave of absence and disability process, including intake, coordination with carriers and vendors,returntoworkplanning, and ongoing communication with employees, managers, and HR Business Partners., • Partner closely with HR Business Partners to ensure benefits, leave, and accommodation decisions are aligned with individual employee situations, leader expectations, and business needs., • Administer the company’s 401(k) plan, including enrollments, contribution changes, loans, hardship withdrawals, distributions, eligibility tracking, and employee inquiries., • Collaborate with the Payroll Business Partner to ensure accurate processing of benefit and 401(k) deductions, employer match, census data, payroll feeds, and reconciliation across systems., • Coordinate with retirement recordkeepers, brokers, and vendors to resolve discrepancies, support audits, and ensure compliance with retirement plan requirements., • Lead and support the annual Open Enrollment process, including employee communications, system configuration, enrollment tracking, broker coordination, and issue resolution., • Process and manage Qualifying Life Events (QLEs) accurately and within required timelines, ensuring updates are reflected in Employee Navigator, payroll, and carrier systems., • Ensure new hires receive timely benefit and 401(k) enrollment communications, provide enrollment support as needed, and communicate enrollment data to brokers and carriers., • Maintain accuracy and data integrity within Employee Navigator and ensure alignment with HRIS, payroll, and vendor systems through regular audits and reconciliations., • Act as the primary liaison with benefit brokers and vendors to manage enrollments, eligibility issues, escalations, and ongoing service delivery., • Support benefits related compliance activities, audits, reporting, documentation, and record retention in accordance with federal, state, and local regulations (e.g., ERISA, ACA, FMLA)., • Create and deliver employee focused benefits communications and education throughout the year to enhance understanding and engagement., • Identify opportunities for process improvement, efficiency, and system optimization within benefits, leave, and retirement administration., • Stay current on benefits, retirement, and leave legislation, market trends, and best practices to support continuous program improvement., • Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience)., • 4–6+ years of experience in benefits administration, including 401(k) and payroll partnership., • Handson experience with LOA, STD, open enrollment, qualifying life events, and retirement plans., • Experience working with payroll teams and external vendors to ensure data accuracy., • Proficiency with benefits systems (Employee Navigator strongly preferred)., • Strong knowledge of benefits, retirement, and requirements.
