POSITION SUMMARY: We are currently recruiting a Part-Time Administrative Assistant / Program Coordinator - Energy Efficiency. This part-time position pays $25.00 per hour and is located in Las Cruces, NM. The standard schedule is 20 hours per week; however, from November through January, the position will temporarily expand to 30 hours per week to provide coverage for an Energy Navigator on parental leave. The Part-Time Administrative Assistant / Energy Navigator supports the Plugged in for Good Energy Audit Program (PIFG), helping advance energy-efficiency projects that contribute to a more sustainable and equitable Las Cruces community. The position is primarily responsible for administrative support, program coordination, records management, reporting, financial tracking, and stakeholder communication. During the temporary Energy Navigator coverage period, the employee will also provide resident-facing support, coordinate energy-audit activities, and assist residents throughout the energy-efficiency project process. Administrative Assistant Responsibilities: • Manage program schedules, records, invoices, and administrative processes., • Process and reconcile invoices accurately and in a timely manner., • Collect, organize, maintain, and update program data for monthly and quarterly reporting., • Track program budgets and support financial and administrative processes., • Prepare reports, presentations, correspondence, program materials, and other documentation as requested., • Serve as a key point of contact for staff, program participants, community members, vendors, and stakeholders., • Support scheduling, meeting coordination, logistics, and communication activities to keep energy-audit projects moving forward., • Maintain accurate electronic and hard-copy files, spreadsheets, databases, program trackers, and related records., • Assist with monitoring deadlines, project milestones, deliverables, and required documentation., • Support program staff with general administrative tasks, data entry, document preparation, and customer service. Temporary Energy Navigator Responsibilities: November–January | 30 hours per week • Support resident intake, enrollment, application completion, and collection of required documentation., • Schedule home energy audits and communicate expectations, preparation requirements, next steps, and follow-up information with residents., • Coordinate communication among residents, energy auditors, contractors, program staff, and other project stakeholders., • Review recommended energy improvements with residents and assist with Scopes of Work (SOWs), signatures, project documentation, and required approvals., • Schedule contractor walk-throughs, post-audit visits, installation activities, and other project-related appointments., • Assist residents with incentive, rebate, and financing applications; monitor application progress and follow up as needed., • Maintain complete and accurate resident case files, CRM records, spreadsheets, project trackers, and supporting documentation., • Communicate project timelines, milestones, delays, status updates, and next steps to residents and internal staff in a clear and respectful manner., • Support Home Health Box (HHB) program activities, including logistics, surveys, report distribution, gift card disbursement, and participant follow-up., • Conduct or support pre-installation and post-installation checks, exit interviews, surveys, and follow-up communications., • Participate in community outreach activities and events using clear, accessible, culturally responsive, and equity-centered communication., • Apply program guidelines, grant requirements, procedures, documentation standards, and incentive rules to support accurate and compliant service delivery., • Prepare program updates, reports, and other requested materials for program leadership and stakeholders., • Additional duties as assigned. Required Skills/Abilities: • Excellent organizational skills, time-management skills, and attention to detail., • Ability to manage multiple priorities, deadlines, schedules, and administrative processes with accuracy., • Strong proficiency with Microsoft Word and Microsoft Excel., • Ability to maintain accurate records, spreadsheets, databases, invoices, reports, and program documentation., • Excellent verbal, written, listening, and customer-service communication skills., • Ability to communicate clearly, respectfully, and professionally with residents, community members, contractors, program participants, partners, and staff., • Ability to work independently, exercise sound judgment, and remain self-motivated while collaborating effectively with a team., • Ability to understand and adhere to the duties, methods, procedures, grant requirements, and program guidelines required by the position., • Strong problem-solving skills and a proactive, reliable, solutions-oriented approach to work., • Ability to handle sensitive participant and program information with discretion and professionalism., • Interest in sustainability, energy efficiency, community engagement, and serving the local community., • Experience using CRM systems, databases, spreadsheets, or program-management tools is preferred., • Experience supporting community programs, energy-efficiency programs, incentive programs, or resident-facing services is preferred., • Spanish-language communication skills are preferred. Education and Experience: • High School diploma or equivalent, required., • At least two years of relevant administrative, customer service, program coordination, data-entry, community-program, or related experience required., • Experience with invoice processing, budget tracking, reporting, scheduling, records management, or project coordination is preferred., • Experience working with residents, customers, community members, contractors, or external stakeholders is preferred., • Experience in energy efficiency, sustainability, housing, environmental programs, public programs, or grant-funded programs is a plus. Physical Requirements: • Prolonged periods of sitting at a desk and working on a computer., • Ability to use standard office equipment, including computers, telephones, printers, scanners, and related technology., • Ability to communicate effectively in person, by telephone, virtually, and through written correspondence., • Ability to occasionally travel locally for community outreach events, project visits, meetings, audits, or program activities, as required., • Flexible scheduling is available based on program needs., • Standard schedule is 20 hours per week., • From November through January, the schedule will temporarily increase to 30 hours per week to support Energy Navigator coverage., • Following the temporary coverage period, the position will return to 20 hours per week with a primary focus on Administrative Assistant responsibilities.
