Position Summary The Health Information Management (HIM) Specialist is responsible for ensuring the accuracy, integrity, privacy, and regulatory compliance of patient health information across the organization. This role serves as the primary subject-matter expert for medical records and HIM functions and provides independent oversight of documentation standards, release of information, audit readiness, and data integrity. Compensation and Benefits The compensation for this position is $23.00 hourly. Education and Experience • Minimum 3 years of experience in medical records, health information management, or a related healthcare records role, • Experience managing medical records and document workflows, including scanning, indexing, corrections, amendments, retention, and destruction, • Experience processing Release of Information (ROI) requests, including patient, third-party, and legal disclosures, • Experience working within an Electronic Health Record (EHR) system, including managing fax and document queues, • Experience ensuring compliance with HIPAA and applicable state confidentiality laws, • Experience supporting audits, regulatory reviews, or record requests and producing records under defined timelines, • Experience identifying and escalating documentation, privacy, or data-integrity issues, • Experience in an FQHC or multi-site healthcare organization;, • Knowledge of HIPAA Privacy and Security Rules and applicable California medical records and confidentiality laws, • Understanding of minimum necessary standards, authorization requirements, and disclosure tracking, • Strong attention to detail, accuracy, and organizational skills, • Ability to exercise independent judgment and discretion when handling PHI, • Advanced ability to navigate and retrieve records in an Electronic Health Record (EHR)- EPIC preferred, • Proficiency managing health information intake workflows, including mail, fax, and EHR document queues, • Ability to identify and resolve misfiled, duplicate, or incomplete records, • Strong time-management and prioritization skills in a high-volume environment, • Clear written and verbal communication skills, • Ability to maintain confidentiality and professionalism at all times, • Ability to safely handle and transport confidential materials, • Ability to travel between clinic sites during the workday, as needed, • Ensure the accuracy, completeness, timeliness, and integrity of patient health records across the organization, • Manage health information intake and control, including physical mail, incoming, faxes, EHR fax, and document queues, • Review, triage, index, and route incoming documents to the correct patient, encounter, and document type, • Ensure secure handling and transport of PHI, including:, • Traveling between clinic sites to retrieve mail or records, • Transporting documents in compliance with privacy and security standards, • Coordinating mail pickup and drop-off with the U.S. Postal Service as needed, • Oversee medical records management, including scanning, indexing, corrections, amendments, retention, and destruction, • Manage and ensure compliance for all Release of Information (ROI) requests, including patient, third-party, and legal disclosures, • Apply and enforce HIPAA, California confidentiality laws, and minimum necessary standards, • Monitor documentation quality and record completeness to support clinical care, quality reporting, and compliance, • Serve as the primary Health Information Management subject-matter expert in the absence of a dedicated HIM supervisor, • Support regulatory and audit readiness, including OSVs, internal audits, and external record requests, • Validate health information used for HRSA/UDS, quality, and operational reporting, • Identify, escalate, and mitigate data integrity, privacy, and compliance risks, • Partner with clinical teams and other departments on documentation and data issues, • Support EHR documentation standards, workflows, and optimization efforts, • Develop and deliver training, SOPs, and job aids related to documentation, privacy, ROI, and document intake workflows, • Maintain disclosure logs, audit trails, and compliance documentation Thank you for your interest!
