Job Summary Our beauty client is seeking a highly organized and customer-focused Front Office Coordinator to support operations within a specialized hair salon testing environment. This role serves as both the first point of contact and the central hub for scheduling and coordination, ensuring a seamless experience for models, clients, and internal teams. The ideal candidate brings strong administrative and booking experience, thrives in a fast-paced setting, and delivers a polished, welcoming presence while managing complex scheduling needs and supporting testing operations. Key Responsibilities • Own and manage the master booking calendar for all salon testing appointments, including model sessions, product trials, and technique evaluations, • Coordinate closely with internal partners (R&D, Product Development, Education) to align on testing needs, timing, and model requirements, • Schedule, confirm, and manage appointments via phone, email, and booking systems, • Handle cancellations, reschedules, and last-minute changes with professionalism and efficiency, • Optimize chair utilization and stylist schedules to ensure smooth daily operations, • Serve as the primary point of contact for all models and clients from initial outreach through appointment completion, • Communicate clear expectations regarding testing procedures, requirements, and logistics, • Address inquiries, concerns, and scheduling needs in a timely and professional manner, • Ensure a positive, welcoming, and organized front-of-house experience for all visitors, • Maintain accurate records of bookings, attendance, and testing activities, • Support day-of coordination, including check-in, flow management, and communication with technical teams, • Assist with general administrative tasks to support salon testing operations, • 2+ years of experience in a front office, receptionist, or administrative role, • Prior experience in a salon, spa, beauty, or customer-facing environment strongly preferred, • Experience managing calendars or booking systems is highly desirable, • High School Diploma or equivalent required, • Strong organizational and time management skills with high attention to detail, • Excellent communication and interpersonal skills with a professional, friendly demeanor, • Ability to manage multiple priorities in a fast-paced, dynamic environment, • Customer-service mindset with a focus on creating a positive experience, • Opportunity to work within an innovative beauty testing environment, • High-impact role supporting product development and salon operations About Aquent Talent: Aquent Talent connects the best talent in marketing, creative, and design with the world's biggest brands.
