A BRIEF SUMMARY OF THIS REALLY AWESOME JOB: The Meeting and Event Manager is responsible for leading the planning and execution of corporate, incentive, and association meetings and events with varying scopes and levels of complexity. This role serves as a strategic operational lead across all aspects of program management, including hotel and venue logistics, contracting, food & beverage management, housing and registration oversight, budget management, exhibitor and tradeshow operations, vendor coordination, and on-site execution. The ideal candidate brings strong experience managing complex meetings from kickoff through post-program reconciliation, with the ability to confidently lead vendors, venues, clients, and internal teams in fast-paced environments. Experience in production management and/or trade show and exhibit management—including expo operations, exhibitor fulfillment, and general service contractor oversight—is a plus, although this is ultimately a full-scope meeting management role with exposure to all facets of event operations We’re looking for someone who is proactive, organized, and solution-oriented, and who thrives in a collaborative environment while delivering exceptional event experiences for our clients. SOUNDS GREAT! BUT WHAT DOES THE JOB REALLY ENTAIL? The Bulk of the Job — Meeting Operations: • Project Management! Overseeing program timelines and managing day-to-day tasks, milestones, budgets, and client expectations, • Communication! Ability to communicate effectively and manage multiple vendors, venues, and stakeholders during program planning and onsite execution, • More communication! Ensure accurate, professional, and efficient communication between clients, hotels, vendors, attendees, and GET employees, • We are all about communication! Prepare correspondence and internal communications in accordance with GET's written communication standards, and proofread materials as needed, • Lead overall meeting logistics planning and execution, including venue coordination, production timelines, staffing plans, and onsite management, • Manage hotel and venue relationships, including contracting, concessions, meeting space coordination, room block management, and ongoing logistical communication, • Oversee food & beverage planning and execution, including menu selection, guarantees, dietary accommodations, budget tracking, and onsite service management, • Support budget development, cost tracking, reconciliation, and overall program profitability; review vendor invoices and finalize billing in partnership with accounting, • Collaborate with registration and housing teams to support attendees, exhibitors, speakers, sponsors, and VIP needs, • Oversee housing management and rooming list processes, including room block monitoring, pickup tracking, attrition management, and VIP reservations, • Plan, manage, and execute exhibit halls and expos, including sourcing and managing decorators/general service contractors (GSCs) and specialty vendors, • Develop and maintain detailed production schedules, operational timelines, run-of-shows, and internal planning documents, • Manage onsite execution of meetings and events, troubleshooting issues in real time, and ensuring a high-quality attendee experience, • Ensure quality control across all logistical and operational elements, proactively identifying risks and implementing solutions, • Provide leadership, mentorship, and operational guidance to onsite staff and internal team members as needed, • Report program status, risks, and post-event recaps to senior leadership, • Contribute operational insight, process improvements, and strategic recommendations during internal planning meetings, • Support a collaborative, team-first environment and contribute wherever needed to ensure successful program execution YEP, THAT’S ME!: Ideal Candidate: • Located in Florida (primarily a remote work environment), • Bachelor’s degree preferred, • An ideal candidate would have a minimum of four years of experience as a meeting manager, • CMP certification preferred, • Must be able to travel 20-30% of the time (often less, rarely more), • Valid passport, • Excellent verbal and written communication skills, • Excellent time management skills, attention to detail, multi-tasking abilities, and the ability to meet tight deadlines (this is a big one!), • An understanding that the workday doesn’t always end at a set time when there’s a deadline involved, • Strong computer skills required; must have the ability to learn and work in a Mac environment and the ability to use a number of online / cloud-based applications (Slack, monday.com, Google Workspace, etc.), • Excel and Word; PowerPoint/Keynote skills are a plus, • Creativity and a drive to innovate are a plus!, • Experience with Cvent, getregistered, and/or other registration software platforms, • Ability to work efficiently in a remote (work-from-home) environment, • Ability to read, analyze, and interpret complex documents, • Bilingual (English and Spanish) is a plus, but not required Benefits: This is a full-time salaried position and therefore includes health care benefits (medical, dental, and vision), a 401(k) plan, and a generous vacation plan. Work Environment: This is primarily a remote position (aka work-from-home); however, our team does meet at the downtown Orlando office one day per week. This role does require travel and the ability to work in a team environment.
