Job DescriptionPosition Summary: The Coordinator of Professional Learning supports the planning, organization, and execution of training programs and professional learning events and residencies. This role ensures smooth communication with faculty, timely scheduling, accurate data tracking, and logistical support. The Coordinator of Professional Learning is highly organized, tech-savvy, and proactive, able to anticipate needs and ensure the department runs efficiently. This is a 40-hour per week, full-time position. Essential Duties and Responsibilities: Subject to the policies and management direction established by the Vice President of Arts Education, the duties of the Coordinator of Professional Development shall include, but are not limited to: Key Responsibilities:Program Coordination * Schedule and coordinate all aspects of professional development sessions, training and arts integration sessions. * Coordinate catering orders, event documents, and day-of logistics * Maintain department calendars (Google Calendar and ArtsVision) * Create and track RSVPs, send program communications, track attendance in Salesforce, print materials, * Create sign-in sheets, survey links, ordering, organizing and pulling workshop supplies, arriving early to set-up and starting late to clean-up events. Faculty Engagement & Support * Serve as a point of contact for faculty regarding training logistics * Draft and process Letters of Agreement (LOAs), Independent Contractor (IC) forms, and expense reports * Assist with payroll processing through ADP Instructional Resource Development * Support the creation and organization of training resources and materials * Maintain documentation and systems for easy access and distribution Administrative & Technical Skills * Use Salesforce, Excel, and Google Workspace for data entry, tracking, and reporting * Communicate professionally via phone, slack and email to coordinate with faculty and staff * Create and maintain event-related documentation * Ensure timely and accurate data management and follow-up Qualifications: * Exceptional organizational and communication skills * Proficient (or able to learn) Salesforce, Excel, Google Docs, ArtsVision, and ADP * Strong attention to detail and ability to manage multiple priorities * Ability to anticipate team needs and act proactively * Knowledge of or experience with the performing arts * Exhibit a growth mindset and curiosity and willingness to learn. * Experience working with students and/or teachers in an educational setting * Strong interpersonal skills and successful experience working and interacting with diverse populations of students, faculty, and staff. * Willingness to travel to various school and/or community settings in New Jersey and have access to a vehicle or reliable mode of transportation. * Willing to conquer the “small tasks” with an understanding of their vital importance in the success of the organization * Must be an independent, self-motivated, and highly resourceful individual and able to prioritize and anticipate the needs of the project.
