Job DescriptionSalary: $23 - $28 DOE Reports to Controller Position Summary The HR Generalist is responsible for administering day-to-day human resources operations across all Colony facilities (Colony I, II, III, IV, and Holden), with a strong focus on payroll processing, employee onboarding, benefits administration and cobra, terminations, compliance tracking, and employee support. This role serves as the primary operational HR point of contact for payroll processing and questions, ensuring accuracy, confidentiality, regulatory compliance, and smooth coordination between HR, payroll, and accounting functions. The HR Generalist supports the Controller in maintaining strong internal controls while providing employees with clear, timely, and professional HR services. Qualifications Education, Experience, and Training • Associate or bachelors degree in human resources, Business Administration, Accounting, or related field preferred, • Minimum of 2 years experience in a Payroll-related and/or Human Resources role, • Experience working with confidential employee and payroll data required, • Familiarity with HRIS and payroll systems (BambooHR a plus), and spreadsheet tracking, • High proficiency with Excel and the Microsoft suite required. Knowledge, Skills, and Abilities • Strong attention to detail with high accuracy standards, • Ability to maintain strict confidentiality of employee and payroll information, • Clear written and verbal communication skills, • Strong organizational and follow-up skills; able to manage deadlines independently, • Ability to explain policies, benefits, and procedures clearly to employees, • Comfortable working cross-functionally with accounting and leadership, • Proficiency with Microsoft Office and computerized payroll/accounting systems, • Ability to multitask and adapt in a fast-paced, deadline-driven environment Job Responsibilities those responsibilities italicized below are considered essential functions. * Human Resources Administration • Serve as the primary HR contact for employee questions related to policies, onboarding, benefits, and payroll coordination., • Coordinate onboarding for all new hires, including:, • New paperwork and document collection, • Policy and benefits overview, • Verification of completed and accurate forms., • Accurately complete and maintain Form I-9 documentation and support identification records., • Process all I-9s through E-Verify as needed., • Track employee status changes including new hires, terminations, leaves, and eligibility milestones, • Maintain HR files (physical and electronic) in an organized, confidential manner, • Assist Controller in maintaining personnel policies, employee handbook updates, and HR procedures, • Maintain HR tracking spreadsheets (EEOC, disability status, vaccine records, and other compliance metrics as required), • Coordinate with external vendors or agencies as required (benefits providers, auditors, state agencies, etc.), • With the Controller assist in reviewing PFML applications., • Assist in any investigations or investigation follow-ups (notices, research, etc.) Payroll & Timekeeping Functions • Primary for weekly payroll processing with support from the Controller as needed., • Review employee electronic timecards for completeness, accuracy, and policy compliance, • Flag discrepancies, missing punches, PTO issues, and job-coding inconsistencies prior to payroll processing, • Handles payroll data entry and payroll reporting as required., • Track employee PTO, retirement, and any other eligibility thresholds, wage changes, and employment classifications., • Support month end- and year-end payroll activities including data verification for W-2s, audits, and regulatory reporting etc., • Maintain payroll-related documentation and audit support schedules, • Provide Controller with weekly amounts for 403B remittance to be sent. Benefits & Open Enrollment • Track employee eligibility for benefits (90-day waiting periods, status changes, etc.), • Conduct benefits orientation meetings with employees at new hire and eligibility milestones, • Assist with benefits enrollments, terminations, and changes in coordination with the Controller, • Support annual open enrollment by:, • Preparing any employee information items., • Tracking completed elections and required forms, • Following up on missing or incomplete documentation, • Maintain all online job openings with up to do date information., • Assist with internal communications related to HR policies and deadlines, • Maintain professionalism and discretion in all employee interactions, • Stay informed on HR best practices and compliance requirements, • Perform other related duties as assigned, • Maintain all required compliance posters up to date Work Conditions/Physical Demands • Position is hourly. 20-25 hours per week. Occasional need for additional hours depending on holidays, or busy periods of the year. Hours generally during typical business hours (8am-6pm). Hours in office and apartment building setting., • Potential of hybrid once probationary period is done and deemed appropriate., • Stationary position. Requires ability to remain in a stationary position for some period to process payroll, HRIS work or documentation., • Requires some movement to access file cabinets, office machinery, etc., • Requires ability to file, operate typical office machinery such as postage meter, copy machine, fax machine, computer, and printer., • Will require occasional lifting of office products, around 20 pounds., • Repetitive movements may be required to operate office equipment., • Requires ability to concentrate during regular, noisy periods., • Requires ability to work independently and with others.
