Job Description Position Title: Sales and Service Administrator Department: Sales / Service / Operations Employment Type: Full-Time Location: Worcester Massachusetts Job Summary The Sales and Service Administrator provides administrative and operational support to both the sales and service teams, helping ensure that customer requests, daily quote preparation, pricing, quote processing, sales orders, agreements, purchasing coordination, service tickets, work orders, documentation, system information, and internal processes are handled accurately and efficiently. The role helps maintain accurate information in ConnectWise, CPQ, billing systems, and other company platforms, serving as a key point of contact between customers, sales representatives, service technicians, managers, vendors, purchasing, and internal departments to support a responsive, organized, and professional customer experience. Key Responsibilities · Provide day-to-day administrative support to the sales and service teams, including preparing and processing quotes, proposals, sales orders, agreements, contracts, service documentation, and customer-facing materials. · Prepare daily customer quotes, including gathering required information, confirming pricing, reviewing product or service details, formatting quote documents, and coordinating approvals or follow-up as needed. · Process quotes, sales orders, and customer agreements, ensuring required information, pricing, terms, approvals, documentation, and system updates are complete and accurate. · Coordinate purchasing-related activities, including gathering purchasing requirements, confirming product or service details, supporting purchase order preparation, tracking order status, and communicating with vendors or internal teams as needed. · Receive, enter, update, and track sales orders, service requests, work orders, tickets, renewals, and customer follow-up items. · Process and track quotes, sales orders, and agreements, ensuring pricing, product details, service details, customer information, billing requirements, terms, approvals, and documentation are accurate. · Maintain accurate customer records, sales activity, service activity, opportunities, equipment details, contract information, billing information, pricing information, and account information in ConnectWise, CPQ, billing systems, and other company platforms. · Help maintain clean, current, and accurate information across ConnectWise, CPQ, billing systems, and related tools, including updates to customer accounts, contacts, agreements, quote records, billing details, service information, and internal notes. · Coordinate with sales, service, operations, finance, purchasing, vendors, and other internal teams to support purchasing activity, order fulfillment, service delivery, invoicing, and customer follow-up. · Communicate with customers regarding quote status, order status, service scheduling, ticket updates, documentation needs, billing questions, and general support needs. · Assist with service scheduling, dispatch support, technician communication, meeting preparation, follow-up reminders, and internal coordination. · Prepare sales reports, service reports, ticket summaries, pipeline updates, renewal information, dashboards, and operational summaries for management. · Organize and maintain sales and service documentation, including purchase orders, contracts, renewals, proposals, work orders, service records, and client correspondence. · Monitor open sales and service items and follow up to help prevent delays, missed commitments, incomplete documentation, or unresolved customer needs. · Help identify process improvements that increase accuracy, efficiency, responsiveness, and consistency across sales and service administration. · Maintain a high level of professionalism, confidentiality, and attention to detail in all customer and internal communications. Required Qualifications · High school diploma or equivalent required; associate or bachelor’s degree in business administration, operations, communications, marketing, or a related field preferred. · One or more years of experience in sales administration, service administration, customer service, dispatch, operations support, office administration, or a related support role. · Strong organizational skills with the ability to manage multiple tasks, tickets, schedules, deadlines, and priorities. · Excellent written and verbal communication skills, including professional phone and email etiquette. · Strong attention to detail and accuracy when working with customer information, pricing, daily quotes, sales orders, agreements, purchasing details, tickets, service records, billing information, and documentation. · Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams. · Experience using ConnectWise, CPQ tools, billing systems, CRM platforms, quoting systems, service management software, ticketing systems, dispatch tools, ERP platforms, or customer databases preferred. · Experience with ConnectWise, CPQ, and billing system data entry, updates, and record maintenance is a plus. · Ability to work collaboratively with sales representatives, technicians, managers, customers, vendors, finance, purchasing, operations, and customer service teams. Preferred Skills and Attributes · Customer-focused mindset with a commitment to clear communication and timely, professional follow-through. · Comfort working in a fast-paced environment with changing sales, service, and customer priorities. · Ability to stay organized, problem-solve, ask good questions, and escalate issues appropriately. · Experience supporting technology, telecommunications, managed services, field service, professional services, or business-to-business teams is a plus. · Strong documentation, record-keeping, and follow-up habits. · Comfort preparing and processing quotes, reviewing pricing details, processing sales orders and agreements, coordinating purchasing activities, and working with sales, vendors, or internal teams to ensure accuracy and timely completion. · Ability to maintain accurate information across business systems, including ConnectWise, CPQ, and billing platforms, while following established processes and data quality standards. · Positive attitude, team-oriented approach, and willingness to learn new systems, service processes, sales processes, and terminology. Work Environment This role works in an office environment and requires regular communication with internal teams, customers, vendors, sales representatives, service technicians, purchasing, and finance. The Sales and Service Administrator must be comfortable using business software systems, managing detailed information, coordinating schedules, supporting purchasing activity, and handling multiple sales and service priorities at the same time.
