Job Description General Job Summary: Under the direction and in collaboration the Director of Hospital Services, the Donation Strategist Lead supports the mission, goals, and values of Infinite Legacy by providing leadership and management of Hospital Donation Coordinators, In-house Donation Coordinators, and other assigned staff of the Hospital Services division. This individual provides daily oversight of hospital support operations and personnel administration by managing the planning, implementation, and evaluation of donation programming at hospitals, hospices, teaching facilities, and other key stakeholders. The mission is to enhance Infinite Legacy's presence and donation awareness at all Donor Services Area hospitals and other providers to increase organ and tissue donation within the Infinite Legacy service area. The Donation Strategist Lead is accountable for the Hospital Services staff's adherence to all regulatory and accrediting agency standards, including, but not limited to, CMS, UNOS, FDA, and AATB, as well as all internal organizational policies, procedures, and guidelines of the organization. Position may require travel to Infinite Legacy regional offices and hospitals throughout the Donation Service Area, as needed. Education and Experience: • Knowledge and skills acquired through completion of a Bachelor's degree at an accredited college or university in Healthcare Administration, Communications, Marketing, or other related fields; or in lieu of a Bachelor's degree, an additional 4 years of relevant work experience is required., • Minimum 5 years’ experience in a health-related field and/or 2-3 years in organ and tissue recovery/transplantation., • 2 years of supervisory or management experience preferred. Supervisory Responsibilities: • At the request of Human Resources, participates in the screening and hiring process of candidates., • Maintains and updates the departmental performance management board and reports these departmental projects/goals on a routine schedule as defined by organizational leadership., • Assists the director with verifying payroll for signoff on a bi-weekly basis per departmental protocol., • Approves paid time-off (PTO) requests from staff per departmental protocol while maintaining adequate staffing to meet clinical activity., • Approves expense reports., • Oversees the daily workflow of the department., • Attends Organ Donation Council meetings and assists Hospital Services in proficient creation., • Provides constructive and timely performance evaluations., • Handles discipline and termination of employees in accordance with company policy. Required Skills/Abilities: • Proficient in using office equipment, including but not limited to smartphones, personal computers, fax machines, calculators, photocopiers, scanners, telephones, and slide and overhead projectors., • Intermediate to advanced computer skills in Word, Excel, PowerPoint, Outlook, and electronic mail functions., • Excellent judgment, decision-making, and organizational skills; ability to problem solve in stressful situations—a proactive team player who can uphold the organization's core values. Duties/Responsibilities: • Directly supervise Infinite Legacy Hospital Services staff assigned. This duty includes interviewing job candidates and making recommendations for employment, orientation, education, evaluation, counsel, discipline, and suggestions for termination. Verification and signing of timesheets and expense reports are required., • Serves as the expert for the Hospital Services department by providing oversight of documentation, training, call responsibilities, external education, and outreach for the organization. Ensures high-quality service is provided within Infinite Legacy's donation service area at all times and seeks to improve each hospital's performance to meet national collaborative targets and internal benchmarks., • Ensure ongoing data collection and analysis of donor potential and eligibility metrics in hospitals using medical record reviews, referral data, and actual donors. Utilizes the information to tailor hospital strategies to improve timely organ and tissue referral and donation rates., • Ensures the development of an overall departmental strategy to enhance and improve organ and tissue donation outcomes. Collaborating with hospital donation partners, develop policies and strategies to honor donor designation within the donation service area., • Directs Hospital Services staff in developing and implementing hospital donation plans tailored to the needs and resources of each hospital. Monitors service quality by participating in and observing hospital service activities for mutual critique and review. Ensures the hospital donation plans are documented and made in collaboration with key hospital partners and shared with hospital administrators., • Develop performance goals and strategies for Hospital Services Specialists that support the Hospital Services division and hospital-specific strategic plans. These should include overall goals and objectives and educational plans to respond to performance gaps recognized in a comprehensive review of data. The goal is to maximize donor referral and recovery activity at each institution. This task requires a working knowledge of the demographics of each hospital and key personnel involved in donation, both historically and currently., • Working with the CBDO, the Supervisor of Hospital Services ensures the timely completion of annual donation plans for each hospital in the Infinite Legacy DSA. This includes the execution of the strategic plans by the appropriate Hospital Services team member and other Infinite Legacy staff and facilitating ongoing communication of strategic plan updates by performing quarterly meetings to track progress with Hospital Services staff., • Leverage continuing education (CE) provider ship by leading the development and facilitation of approved professional education content to key stakeholders., • Oversees the development and management of effective relationships by hospital services staff with key internal and external individuals to focus on increasing organ and tissue donation within hospitals., • Ensures the OPO and participating hospitals develop agreements to provide procurement services as required by the Center for Medicare and Medicaid Services (CMS). Works with participating hospitals to update MOUs are necessary to ensure compliance with current laws and federal regulations., • Serves as the primary facilitator for electronic medical record access and hospital services electronic database/data validation., • Provides quality and quantity oversight to external and internal communications for potential and actual donor families, including, but not limited to, brochures, outcome letters, LLF newsletter, and donation partner correspondence., • Ensures successful planning and execution of organizational initiatives, including Donate Life Month, Flag Raising, Donor Memorial Walls, Donate Life activities, and education events., • Lead the planning and facilitation of Hospital Services DSA pacing event. Identify opportunities for DSA pacing events or special interest programs that contribute to organizational and departmental goals., • Monitor and report to CBDO quarterly on achievement of departmental goals and routine performance standards (i.e., Unit Visits) and special programs (i.e., DRS recruitment and attendance)., • Facilitate ongoing communication with the Communications division regarding opportunities and requests for PR liaisons between Infinite Legacy and hospital PR/media professionals supporting Hospital Services initiatives., • Represent Infinite Legacy at any organization or industry meetings for which HS attendance is preferred (i.e., Infinite Legacy Advisory meetings, AOPO meetings, UNOS regional meetings)., • Provides assistance to staff with the development, implementation, evaluation, and improvements of professional and public education programs and presentations as necessary and acts as a resource by maintaining knowledge of current articles in general publications related to donation and transplantation., • In collaboration with the Education team, ensures staff competency through various methods, including mentorship, participation in the orientation process, ongoing education, case reviews/debriefs, self-paced learning modules, and focused learning and training activities., • Participate in the strategic planning process, including developing performance metrics for the department under the direction of the CBDO. Collaborate with Communications and Community Services directors to leverage internal resources and expertise. Monitors progress and completion of goals in collaboration with interdepartmental leaders monthly., • Collaborating with Quality Systems ensures timely response to standard operating procedures (SOP) modifications and compliance, corrective action and preventive action (CAPA), and ongoing competencies and quality improvement projects., • Under the direction of the Director of Hospital Services, performs various management and fiduciary duties, including but not limited to participation in the hiring process, recommending staff for promotional opportunities, responding to paid time off requests and timesheet approval, and expense reports approvals. Administering corrective action plans and/or performance improvement plans and annual evaluations, developing the departmental budget, assisting with monthly variance report explanations, ensuring the department is adequately staffed and trained and maintaining oversight of departmental storage and resources., • Participates as a member of the Leadership Team, demonstrating Infinite Legacy's core values and attending meetings such as team meetings, retreats, planning sessions, etc., • Serves as the emergency contact for the HS department, including sick calls and emergencies, and may be required to fill holes in the schedule and or/timeframes as necessary during decreased staffing., • Other duties as assigned.
