Job Description Overview - Real Estate Legal Assistant / Transaction Coordinator This role supports one or more real estate attorneys in a fast-paced, high-volume practice. You’ll assist with preparing closing documents, managing transaction files, coordinating schedules, and serving as a key point of contact for clients and partners throughout the closing process. This opportunity is well-suited for either an experienced real estate assistant or a detail-oriented administrative professional eager to learn real estate law and transaction processes. Training and support are provided, with increasing responsibility as confidence and proficiency grow. Primary Responsibilities Transaction Coordination & Document Preparation • Prepare, draft, and manage closing packets and related documentation, • Review title commitments and closing instructions (with training and guidance as needed), • Collect, track, and organize required documents from clients, lenders, realtors, and third parties, • Act as a customer service ambassador for the firm, ensuring a professional and positive client experience, • Serve as a point of contact for buyers, sellers, real estate agents, lenders, and title companies, • Schedule closings and coordinate attorney calendars, • Enter and update data in internal systems and closing platforms, • Prepare correspondence, engagement letters, and file summaries, • Scan, file, and maintain electronic and physical records, • Files are accurate, organized, and moving forward on schedule, • Clients and agents feel informed and supported throughout the process, • Attorneys can rely on you to anticipate needs and follow through Qualifications • Strong organizational skills with the ability (or demonstrated potential) to manage a high volume of work, • Exceptional attention to detail and commitment to accuracy, • Strong written and interpersonal communication skills, • Ability to work independently while collaborating with attorneys and team members, • Proficiency in Microsoft Office (Outlook, Word, Excel) Preferred Personal Attributes • Proactive problem-solver who anticipates next steps, • Comfortable juggling multiple deadlines and shifting priorities, • Thrives in a structured yet dynamic environment where no two days are the same, • Eager to learn real estate law, processes, and terminology
