About the Role: The Office Manager ensures reliable daily operations across the Dallas office so staff can work effectively, systems remain accessible, and organizational processes run smoothly. The role supports Chapter operational workflows, finance administration, technology access, and event logistics. What you’ll do: Core duties and responsibilities include the following. Other duties may be assigned. • Supports timely accounts payable processing by verifying approvals, preparing payment batches, and ensuring coding and documentation are accurate, complete, and audit ready., • Supports month-end financial processing by ensuring timely processing of all staff members’ expense reports, as well as submission of daily bank activity, monthly statements, adjusting journal entries, and other financial information., • Administers company credit cards, expense reporting software, phone system, and other office systems so that users have appropriate access, workflows operate reliably, and processes and documentation comply with internal controls., • Administers debit card program for our Wish Families by tracking card status, documenting usage, and ensuring processes and documentation comply with policies and procedures., • Maintains a welcoming, well-functioning office environment requiring an on-site presence to manage daily office operations including building and parking access, office maintenance requests, supplies, shared space organization, visitor support, and vendor coordination., • Serves as primary liaison with property management and other vendors, proactively advocating for our chapter’s needs while maintaining positive relationships., • Manages incoming calls, including potentially difficult constituent interactions, in accordance with our company culture, providing appropriate information and routing calls as needed., • Manage group email inboxes, ensuring timely and accurate responses and appropriate routing of messages., • Performs initial laptop setup for new employees/interns and resolves basic technology issues to ensure staff can access required systems and tools., • Coordinates logistics for stewardship events and all-staff events so that materials, guest lists, communication, and schedules are organized and ready. Our Perfect Candidate Education and Experience: • 3+ years of experience in finance support, office management, or operations support., • 3+ years of experience with Microsoft Teams, Outlook, Excel, and cloud-based systems., • 2+ years of experience providing technical or customer support in a service-oriented environment., • Experience working with productivity tools, ticketing systems, or device management systems., • Fluent in English and Spanish (written and verbal). Required Abilities and Skills: • Ability to demonstrate a strong customer-service heart, consistently creating a welcoming, respectful, and solutions-oriented experience for staff, wish families, volunteers, donors, and vendors., • Ability to maintain accurate records, manage confidential information, and follow established internal controls., • Skill in maintaining organized, accurate financial records and supporting day-to-day fiscal operations., • Demonstrated ability to navigate and manage key administrative systems (e.g., Microsoft Teams, Outlook, Excel, and cloud-based systems), troubleshoot issues, and introduce process improvements that enhance workflow., • Strong organizational skills., • Strong judgement and decision-making skills; able to navigate sensitive or confidential situations with discretion., • Excellent verbal and written communication skills, with the ability to interact clearly, professionally, and warmly with staff, wish families, volunteers, donors and vendors., • Ability to meet attendance requirements., • Ability to operate various general office equipment including a computer., • Ability to work well under the pressure of deadlines., • Ability to follow instructions and work independently with limited supervision., • Ability to work on multiple projects effectively and efficiently at the same time., • Must be able to work flexible hours beyond the normal schedule when necessary, including attending weekend and after-hours events.
