Job DescriptionPosition Summary The Retina Ophthalmic Technician – Lead is the physician’s operational anchor for retina care. This role combines advanced clinical support (imaging, scribing, procedure preparation) with end‑to‑end medication coordination (order, inventory, compliance, and reimbursement) and clinic flow optimization. The Lead ensures retina medications are available and tracked, insurance reimbursement is secured, costs and payer payments are monitored and updated quarterly, and the physician remains informed and efficient throughout clinic sessions. Key Responsibilities1) Retina Medication Management & Inventory • Order and maintain inventory of retina therapeutics (e.g., anti‑VEGF agents and steroid implants); track lot numbers, expiration dates, and cold‑chain handling as applicable., • Set and enforce par levels, reorder points, and vendor relationships; reconcile packing slips against purchase orders., • Daily/weekly inventory counts, variance investigation, and waste/return documentation., • Compliance documentation: maintain logs for drug receipt, storage, temperature monitoring, chain of custody, and usage per patient., • Coordinate samples and compassionate use programs per policy.2) Insurance Reimbursement, • Confirm coverage rules (buy‑and‑bill vs. specialty pharmacy, step therapy, site‑of‑service)., • Ensure timely claim submission with correct NDC/J‑codes, units, modifiers, and ICD‑10 diagnosis alignment., • Monitor remits/denials, pursue corrections/appeals, and report cost vs. payment and net margins., • Quarterly updates: review drug acquisition costs, payer fee schedules, average payments, and update internal price files and billing guidance.3) Clinical Support & Scribing, • Scribe for the retina physician: accurately document HPI, ROS, exam findings, imaging/procedure notes, assessments, plans, and medication lot/expiration details., • Prepare patients and rooms for intravitreal injections and minor procedures; set up sterile trays and post‑procedure instructions., • Perform diagnostic testing as needed: OCT, fundus photography, FA/ICG (if applicable), visual acuity/IOP, and refractions as directed., • Maintain documentation quality per clinic standards and payer requirements (medical necessity, image labeling, interpretation).4) Clinic Flow & Coordination, • Own the schedule cadence: pre‑visit planning, imaging-first workflows, turn‑room logistics, injection block management., • Close real-time gaps (missing authorizations, unavailable drugs, room delays); escalate promptly to keep the doctor in the know., • Coordinate across front desk, billing, pharmacy/vendor, and tech team to minimize patient wait times and rework., • Track throughput metrics (patients per session, cycle times, add-ons) and implement improvement actions.5) Communication & Physician Support, • Provide concise status updates to the physician throughout clinic (patient readiness, imaging completed, medication on hand, PA status, denials)., • Maintain daily “doctor dashboard” of high‑risk items (expiring PAs, low inventory, denied claims, unusual costs, urgent supplier issues).6) Compliance, Safety, and Quality, • Adhere to HIPAA, OSHA/infection-control, medication storage/temperature standards, sharps safety, and manufacturer handling guides., • Support internal audits (documentation completeness, inventory‑to‑usage reconciliation, billing accuracy)., • 2–4+ years ophthalmic technician experience (retina preferred) including scribing and imaging., • Demonstrated experience with buy‑and‑bill medication workflows, prior authorizations, and payer policies., • Proficiency with an EHR (e.g., NextGen, Epic, ModMed, EMA, eClinicalWorks) and imaging platforms (OCT/fundus systems)., • Strong knowledge of clinical documentation standards and medical terminology; comfort with ICD‑10/CPT/HCPCS (J/NDC coding for drugs)., • Proven ability to organize inventory, track costs, and communicate effectively across teams., • COA/COT/CRAA or similar credentials; OCT certification or vendor training., • Experience with intravitreal injection room preparation and minor procedure assistance., • Prior role in revenue cycle/PA coordination for biologics., • Experience creating SOPs and leading small teams.Physical & Schedule Requirements, • Frequent standing, room turnover, and patient assistance; lifting up to 25 lbs for supply handling.
