Job Description About the Role This position is the operational backbone of NineLine’s Business & Employment program. The Administrative Assistant is an extension of Nigel and John: present on the floor, owning day-to-day execution, and keeping Boeing, the production floor, and the warehouse moving without requiring constant supervision. The work is hands-on and highly accountable. You will manage workforce, billing, deliveries, contractor communication, and the records that keep the operation continuous. When a subordinate role is short-staffed, you cover it. When a one-off contractor request appears, you document it so it can be billed correctly. When standards slip, you reset them. What You Will Own Operations & deliverables • Functionally manage day-to-day operations of Boeing work, the production floor, and the warehouse., • Supervise warehouse operations so daily, weekly, and monthly deliverables are met on time., • Coordinate incoming and outgoing materials; maintain accurate material records., • Cover subordinate roles in a pinch while still completing assigned administrative duties. Billing, contractors & communication • Prepare and track invoicing so work is billed accurately and on schedule., • Maintain open, earnest, and honest communication with Boeing, 3M, and other contractors., • Document one-off and special requests so they can be billed and closed correctly., • Serve as a reliable point of contact by email, phone, and secondary channels with contractors, staff, and leadership. People, labor & quality • Keep personnel on task; protect continuity of working standards., • Track labor and personnel assignments; support improvement and quality assurance with staff., • Coach, train, and hold the line—firm on results, fair with people., • Coordinate both up to leadership and down to the floor so nothing falls through the cracks. Records & continuity • Navigate systems and keep records current so business operations continue if someone is out., • Track operational data needed for billing, workforce, materials, and reporting., • Flag issues, needs, and wins to leadership early; limited supervision, high communication., • Perform additional duties as assigned as program needs shift. Required Experience & Qualifications • At least five years of demonstrated leadership experience (must be able to show it in prior roles)., • Mixed education and work history that prepared you for operations, people, and records—not credentials alone., • Proven data management and record-keeping; comfort navigating operational systems., • Experience recording incoming and outgoing materials., • Experience tracking labor and managing personnel on a floor or similar environment., • Strong written and verbal communication; able to work with contractors, staff, and leadership., • Degree preferred but not required., • Veteran, military spouse, or mission-aligned nonprofit experience is valued; not required. How We Will Evaluate Candidates • Evidence of five-plus years leading people, not only holding a title., • Examples of billing, contractor, warehouse, or production-floor accountability., • How you keep records, so operations do not depend on one person’s memory., • How you handle a one-off request, a missed deliverable, and a staff performance issue., • Presence, judgment, and whether you can be trusted as an extension of current program leadership. About NineLine Veteran Services NineLine Veteran Services is a veteran-led nonprofit providing peer-based support, employment pathways, housing assistance, wellness programming, and emergency aid. The Business & Employment program connects veterans to meaningful work through production, warehouse, and contractor partnerships, including Boeing, 3M, and others, while maintaining operational and billing standards that protect the mission and the contract.
