Job Description Executive Assistant Location: White Plains, NY Work Arrangement: Hybrid, 3 days onsite Employment Type: Contract Assignment Length: Late July through mid-February Pay: $37.93-$41.38/hr Schedule: Standard business hours, with flexibility as needed to support senior leaders across time zones Benefits: CRG contractor benefits available Job Overview We are seeking an experienced Executive Assistant to support senior IT, Technology, and Data leadership in a fast-paced global corporate environment. This is a high-visibility contract opportunity supporting an executive leader and their Americas and Global leadership teams. The ideal candidate is proactive, extremely organized, polished, resourceful, and comfortable managing complex calendars, travel, expenses, meetings, communications, and special projects. This role requires someone who can anticipate needs, solve problems independently, protect confidentiality, and operate with professionalism across local and global teams. This position is based in White Plains, NY and follows a hybrid schedule with 3 days onsite. Key Responsibilities • Provide executive administrative support to a senior IT, Technology, and Data leader and their Americas and Global leadership teams., • Manage complex internal and external calendars with limited oversight., • Coordinate large-scale meetings, leadership meetings, offsite meetings, onsite events, and special projects., • Arrange complex domestic and international business travel., • Prepare and submit expense reports using Concur after trips, meetings, and special events., • Maintain confidentiality and information security when handling sensitive leadership, business, and team information., • Act as a professional extension of the executive and leadership team., • Escalate and communicate on behalf of leaders when appropriate., • Serve as a liaison across internal teams, external stakeholders, and global leadership groups., • Support department administration, including mail, vendor setup, purchase order management, office supplies, space coordination, and team files., • Manage files and collaboration activity in Microsoft Teams, OneDrive, and related systems., • Support ad hoc projects and administrative needs with minimal supervision., • Contribute to a positive, professional, and respectful experience for internal and external stakeholders. Required Qualifications • Associate degree required., • 7+ years of relevant executive assistant, senior administrative support, or executive support experience., • Experience supporting multiple senior leaders at the same time., • Experience supporting global executives or teams across multiple time zones., • Experience coordinating frequent domestic and international travel., • Experience preparing and managing expense reports., • Experience using Concur., • Strong Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook., • Strong written and verbal communication skills., • High level of emotional intelligence, professionalism, and confidentiality., • Ability to manage a high volume of work and competing priorities., • Ability to make sound decisions with limited guidance., • Ability to anticipate needs, detect problems early, and solve issues proactively., • Strong attention to detail and follow-through., • Ability to work in a fast-paced environment with shifting priorities., • Ability to work hybrid in White Plains, NY, 3 days onsite. Preferred Qualifications • Experience in consumer packaged goods, food, beverage, dairy, nutrition, manufacturing, or another global corporate environment., • Experience supporting technology, IT, data, digital, or transformation leaders., • Experience using SAP, Concur, and OneBuy., • Experience using Microsoft Teams and OneDrive., • Experience supporting leadership communications, meeting agendas, follow-up tracking, and executive-level coordination., • Experience working with global leadership teams. Work Environment This is a hybrid corporate role based in White Plains, NY. The Executive Assistant will work with senior leaders, global teams, internal stakeholders, vendors, and external contacts. The role requires professionalism, confidentiality, flexibility, and the ability to manage time-sensitive requests with urgency and accuracy. New York State paid sick leave rules apply. Employees accrue sick time at a rate of 1 hour for every 30 hours worked, up to 56 hours per year. Estimated annual sick time: 56 hours, or 7 days at 8 hours/day.
