Job Description Property Manager OVERVIEW: This position is responsible for protecting, maintaining, and enhancing the value of multifamily property management assets in order to maximize the owner's financial return and benefit the residents, consumers, and community. This is accomplished by the direction and coordination of the community’s operational activities, leasing, and marketing. This incumbent represents the property owner to both the residents and the public. ESSENTIAL JOB FUNCTIONS OPERATIONS • Inspect community daily to ensure immaculate curb appeal and regular inspection of vacant and make ready apartment units., • Service requests: Manage with Maintenance Supervisor and/or maintenance team daily to ensure timely completion of requests., • Ensure and assist with management of follow up on service requests with residents. Verify they are completed and resident is aware and satisfied., • Manage and oversee all activities and responsibilities of team members., • Work closely with the Regional Property Supervisor and Director of Operations, in achieving occupancy goals, recommend strategies to increase revenue and minimize expenses while delivering quality product and customer satisfaction., • Create opportunities and propose recommendations for improving property performance and continued success., • Prepare or supervise the timely and accurate preparation of all required reports and forms including but not limited to: Weekly Building Report, daily bank deposits, monthly collection report and summary, delinquency reports, accounts payable, statement of deposit accounts, personnel forms, incident reports, monthly market surveys, and other reports as required., • Enter and/or oversee activity in Yardi in relation to daily, weekly, and monthly checklists., • Prepare payroll reports, verify accuracy, and approve all community team members’ timesheets., • Review financial statements monthly with the Regional Property Supervisor and prepare general ledger corrections., • Ensure community maintains accurate resident records. Updates on daily basis all rents, deposits and application fees received from residents. Issue appropriate notice when necessary (e.g., late payments, eviction notices, returned check memos)., • Ensure deposits all receipts prior to bank close each day., • Manage team to ensure collection and posting of rent to Yardi., • Preparing annual budget with Regional Property Supervisor, • Managing and monitoring budget with Regionals Property Supervisor throughout the year., • Communicate effectively and on a regular basis with the Regional Property Supervisor to update him/her on the community., • Ensure orderly records are maintained on the community in accordance with LPM policy., • Stay informed and comply with all policies and procedures as outlined in the Standard Operations Procedures (SOP)., • Conduct annual inspection of all apartment units., • Adhere to LPM guidelines for effectively purchasing supplies, maintaining expenses within budget, and obtaining bids on appropriate community projects., • Review and ensure accuracy and receipt of supplies and approve all invoices for payment., • Ensure A/P invoices are submitted to the corporate office for payment, and handle petty cash and all funds., • Maintains awareness of local market conditions and trends., • Reviewing resumes, interviewing and obtaining references., • Knowledge and tracking of Property Management software in use., • Requires individuals to work in various weather conditions, including extreme temperatures, rain, snow, and heat. MARKETING • Knowledgeable on current market trends and competitor’s performance to establish and maintain competitive edge against competitors., • Well-versed in utilizing social media, online advertising and other various marketing tools/programs. TEAM MEMBER MANAGEMENT • Schedule, supervise, and oversee property teams., • Prepare staffing schedules to ensure work is completed in a timely manner, while remaining within budgetary guidelines., • Motivate staff and see that staff functions as an effective team and provide superior level of customer service., • Teach, promote and perform safe work practices among on-site staff and this position., • Train and be responsible for work performed by office team members under his/her direction, including customer service, leasing, marketing, collections and general property management operations, • Administer written and verbal team member counseling as needed., • Make recommendations for salary increases and/or advancement, • Responsible for completing any and all required paperwork timesheets, payroll, transfers terminations in a timely manner., • Conducting annual performance evaluations, performance counseling and recognition.and, • Being a leader, a motivator and a positive and professional influence on all staff., • Various other duties or projects as requested or requested. GENERAL • Managing and preparing for Site Inspections, Bank Inspections, Insurance inspections, etc., • Performs any additional duties assigned Regional Property Manager or main office., • Uphold all company policies, goals and values., • Must be able to successfully fulfill training requirements., • Represent the community in a professional manner at all times, whether on or off the property. QUALIFICATIONS/SKILLS AND ABILITIES: • Position prefers 5 years experience in residential property management., • Positive personality and a great team player., • Must have previous experience managing 2+ staff (depending on property size), • Must have basic Office Windows computer skills (i.e. Outlook, Word, Excel). o (i.e. use of correct grammatical skills, ability to write a business email) o (i.e. basic formulas (@sum), basic building of a spreadsheet) • Previous property management software experience (i.e. Yardi, One Step, J.D. Edwards)., • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals., • Ability to understand, follow and interpret a variety of instructions furnished in written, oral, diagram, or schedule form., • Ability to work as a team player but also independently, maintaining confidentiality and professionalism., • Ability to establish professional relationships with fellow team members and residents., • Always willing to learn new responsibilities to assist with your professional growth.
