Job Purpose The Director of Business Operations is responsible for the implementation of the department vision and operational oversight for the Education and Community Engagement Department. This role leads the Education and Community Engagement administrative team, creates and maintains operational processes and procedures and oversees the fiscal health of the department. Duties and Responsibilities Team Leadership • Lead a team of administrative and operational staff to maintain day-to-day operations of the department, working to create a culture of collaboration and accountability. Direct reports include:, • Registrar and On-Site Class Manager, • Evening Registrar and Office Manager, • Business Manager and Executive Assistant, • Librarian – Part Time, • Occasional Team Members across programmatic deliverables, • Partner with Executive Director on collaborative leadership on the culture and vision of the department., • Act as the primary internal organization liaison and represent the department in organization meetings and initiatives., • Represent the department with leadership presence to support onsite and offsite programming., • Partner with Education and Community Engagement Executive Director to develop, implement, and monitor the annual department budget., • Act as lead budget administrator for the Education and Community Engagement Department including tracking revenue goals and expenses, including personnel and staffing., • Oversee financial forecasting, monthly and quarterly reporting, and ensure fiscal efficiency across all programs., • Support Finance in reconciliation of departmental revenue and expenses., • Manage Theatre for Young Audiences production budget and creative team contacts., • Lead department data tracking and reporting., • Oversee creation of department class, programmatic schedule and department season planning to ensure alignment with financial resources., • Act as the operations and strategy leader for the vision of the department., • Continuously evaluate and enhance departmental processes, to streamline workflows and improve productivity., • Oversee student records, student medical information and student arrival and departure protocol in compliance with organizational liability practices., • Collaborate with the Executive Director on short- and long-term strategic planning and goal setting., • In partnership with HR, manage ongoing, year-round hiring and onboarding for part-time and occasional Teaching Artists., • Manage contracts with third-party partners and vendors, ensuring compliance, timely execution, and alignment with organizational standards., • Act as primary liaison to Marketing, managing the department’s marketing needs, • Act as primary liaison to the IT Team for all department needs., • Partner with Facilities and Security to operationalize facility usage and procedures., • Work closely with DCPA Theatre Company Production and Company Management to ensure collaborative scheduling, planning, and use of shared resources., • Support Development, providing financial information for grant applications and reporting, track donor recognition on department’s website, collateral, and event materials. Qualifications • Bachelor's degree or master's degree in arts administration and management, business administration, organizational management or related field., • Minimum 5-7 years of progressive experience in business operations, education and community administration of a cultural organization, finance, or organizational management., • Minimum 5-7 years of management experience. Experience leading teams and fostering a collaborative work environment., • Proven experience in budget development, financial analysis, and operational leadership., • Experience in project management and strategic planning is a plus., • Demonstrated success in contract negotiation and vendor management., • Strong knowledge of compliance, risk management, and process improvement strategies., • Strong knowledge of Microsoft Office Suite, including Excel, Outlook, Word, PowerPoint., • Strong Excel skills including the ability to build and understand complex formulas, pivot tables, and ability to manage complex financial and forecasting models using data analytics skills., • Excellent critical thinking and problem-solving skills., • Excellent collaboration, speaking, writing, and communication skills., • Well versed in working and collaborating with business partners, municipal offices, schools, teachers, school districts, and community partners. Supervisor Responsibilities This position includes supervisory responsibilities by providing guidance, performance feedback, and day-to-day oversight of assigned team members to ensure operational goals are met. This role supervises the positions listed below: • Registrar and On-Site Class Manager, • Evening Registrar and Office Manager, • Business Manager and Executive Assistant, • Librarian – Part Time, • Occasional Team Members across programmatic deliverables Working Conditions Must be available to work occasional nights and weekends. Must occasionally be able to travel throughout Denver and the major metro area. This position operates in a professional office environment using standard office equipment such as computers, phones, photocopiers Physical Requirements While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to handle or feel; and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.
