Summary of Position Crestview Landscape is seeking a highly skilled, meticulous, and experienced Accounting Generalist to manage comprehensive, full-cycle accounting activities. Operating at a senior individual-contributor level and reporting directly to the Chief Financial Officer / Chief Operating Officer (CFO/COO), the Accounting Generalist will play an integral role in ensuring financial precision across our high-end residential and commercial landscape design-build and long-term maintenance portfolios. This position bridges traditional corporate accounting and rigorous construction project accounting, requiring complete oversight of in-house bi-monthly payroll processing, operational cash flow management, accounts payable/receivable, and sophisticated job-costing reconciliations. The ideal candidate possesses deep, practical knowledge of California construction payroll laws, multi-tiered job costing, and robust accounting frameworks. Backed by at least 5 years of hands-on professional experience in private construction/commercial sectors, the incumbent will leverage specialized software platforms to streamline internal reporting, optimize workflows, maintain strict regulatory compliance, and deliver actionable, verified financial intelligence directly to executive leadership. 1. Essential Duties and Responsibilities In-House Payroll Administration & Compliance (Bi-Monthly) · Full-Cycle Processing: Execute and manage the complete, end-to-end, in-house bi-monthly payroll for all field, trade, and administrative personnel utilizing Sage 100 Contractor. · Time Tracking Integration: Audit, synchronize, and import daily digital timecard logs from Arcoro Exaktime, validating correct cost codes, localized wage structures, and specific branch allocations. · California Labor Compliance: Enforce DIR-compliant wage and hour practices for residential field crews, including accurate overtime/double-time calculations and compliant meal/rest break tracking aligned with mobile, client-site operations. · Tax & Deductions Management: Oversee accurate processing of multi-layered payroll deductions, including garnishments, union dues, health benefit allocations, 401(k) contributions, and quarterly state/federal payroll tax reporting. Project Accounting & Detailed Job Costing · Cross-Platform Reconciliation: Conduct systematic monthly reconciliations between Procore project management pipelines and Sage 100 Contractor financial records to guarantee flawless data alignment. · Job-Cost Maintenance: Audit and maintain multi-tiered job cost ledgers, tracking line-item budgets for equipment, subcontractors, field labor, and materials against actual expenditures. · WIP Reporting & Variance Analysis: Collaborate directly with Project Managers and the CFO/COO to update Work-in-Progress (WIP) schedules, analyzing budget-to-actual variances and estimating cost-to-complete metrics. · Subcontractor Oversight: Review, process, and track subcontractor progress billings, validating lien waivers (conditional and unconditional), compliance document status, and retainage holding accounts. General Ledger, Corporate Accounting & Month-End Close · Accounts Receivable (A/R): Direct the full billing cycle, including generating progress invoices (AIA G702/G703 format or high-end client custom frameworks), posting client collections, tracking aging balances, and escalating collections infrastructure. · Accounts Payable (A/P): Supervise corporate accounts payable, verifying three-way matching of material purchase orders, delivery receipts, and vendor invoices while optimizing vendor payment cycles. · Month-End Close Execution: Own the corporate month-end close checklist, including bank and corporate credit card reconciliations, balance sheet account analysis, and recurring journal entries. · Audit & Tax Readiness: Prepare detailed schedules and provide technical support for annual corporate CPA reviews, general liability audits, worker's compensation insurance audits, and state tax filings. 1. Qualifications and Experience · Professional Experience: Minimum of 5 years of progressive, hands-on corporate and project accounting experience. Direct experience working within high-end residential and private commercial landscape design-build, construction, or heavy civils sectors is highly valued. · Educational Background: A Bachelor's Degree in Accounting or Finance is strongly preferred but not required; equivalent, verifiable senior-level construction accounting experience and platform mastery will be fully accepted in lieu of a degree. · Regulatory Expertise: In-depth, unyielding comprehension of California Labor Codes, payroll statutory compliance frameworks, and corporate tax/reporting standards within private industry ecosystems. · Licensure/Certifications: Active professional certifications (such as CAP, payroll specialties, or specialized construction accounting credentials) or advanced accounting/finance coursework represent a strong advantage. 1.
