If you are interested keep reading and click to apply. Job Function Summary Provide pro-active support in ensuring that the office infrastructure is maintained to a high level. This includes office H&S, Security, Maintenance, Soft Services and overall staff experience. Duties and Responsibilities Office Support: First line support for all FM related staff queries. Action tickets raised by staff and colleagues on Service Now. Carry out daily housekeeping inspections (Kitchen/Meeting Rooms/etc) Order Business cards, stationery and general supplies. Stock management of consumables (stationery, drinks, first aid, maintenance). Provide cover and support Reception tasks and duties. Support administration of Reception and Office Services inbox. Site storage and key management. Make sure office is clean and tidy, overseeing cleaning contractor and carrying out routine checks. Ad Hoc support to FM functions at UK offices and locations. Support site reactive and planned maintenance activities. Support site security activities. Support running of AV equipment in meeting rooms. Undertake any reasonable duties and tasks as required by the Facilities Manager and Real Estate & Facilities Manager for North Europe. Administration Support: Provide administrative support for the Real Estate & Facilities Manager and site Facilities Manager, including minuting meetings, collating data for presentations and reports. Update shared team portals and planners. Provide administration for the Cloudbooking system. Set up and delete user profiles, supplier liaison and troubleshooting. Review and update the Facilities Cosmo page. Company Vehicles Administration: Work with site managers identify requirements and obtain quotations. Arrange the return of, or replacement of vehicles at the end of lease term. Attend weekly supplier meetings. Monitor vehicle mileage ensuring it is line with the agreed amount. Fuel card portal management (Order new cards/delete cancelled or lost cards). Help collate periodic reports. Update the vehicle insurance portal. Assign fines to driver and cost centre owners. Administration of driver licence checks. Track vehicle maintenance and repair costs. Health & Safety: Assist with emergency evacuations and First Aid situations. Carry out inductions and site safety tours. Administration of Onsolve (Emergency evacuation communication tool) Carry out weekly H&S checks (on rotation with other team members) Assist the Facilities Manager with the collating of documentation for ISO 45001, 14001 AND 50001 audits. Organise periodic evacuation chair training. Maintain and update notice boards, site folders and COSHH documentation. Order First Aid consumables. Finance: Help reconcile credit card statements. Maintain departmental finance tracker. Work with Finance team to update and maintain asset register. Assist the Facilities Manager with collating budget data. Ensure all rent, service charge and council payments are made by AP. Job Skills, Experience and Qualifications Key Skills & Experience It is our expectation that successful applicants should be able to demonstrate all of the experience and skills listed below: Essential Requirements At least 2 years Facilities experience. Fire Warden responsibilities (Training provided). First Aider responsibilities (Training provided). Understanding of water and fire safety regulations. Experience working with SAP. Experience working with CAFM (Computer Aided Facilities Management) software. Intermediate IT Skills (Outlook, Excel, Word, Power Point). Creating high level reports using Excel and Power Point. Good written and verbal communication skills. Proactive in anticipating office requirements. Ability to prioritise workload. Strong team player. Ability to interact effectively with all levels of personnel, both within and outside of the company. Desirable Experience of security access control systems. DSE assessment experience. Experience with office moves. Qualifications BIFM Level 2 Qualification. IOSH/NEBOSH Qualification. TPBN1_UKTJ
