The ideal candidate must have a great eye for detail and basic math skills. They must also have adequate physical strength to unload packages and product as well as the clerical skills to update records and follow up with vendors. Previous Food & Beverage Receiving experience is a must. Previous purchasing experience is a plus. Essential Purpose: To oversee the overall operation of purchasing, shipping, receiving and inventory functions. To receive, ship, store, issue, and deliver goods for the resort and guests. Purchasing & Receiving Agent Reports To: Essential Duties: o To understand and respond to all guest needs and requests in a timely and professional manner. • o To follow all specifications to properly accomplish the essential purposes of the position., • o To ensure that the quantity, quality, condition, and type of all goods received matches the purchase order, invoice, and/or freight bill, and meets the resorts standards., • o To procure, as approved, all food, beverage, and non-food items requisitioned by the resort, ensuring optimal value for cost., • o To act to resolve shipping and receiving, and overall purchasing issues, in the absence of the Purchasing Manager. o To rotate stock and inventory in storerooms and all storage locations, as directed, to ensure freshness., • o To satisfactorily perform routine support tasks, as directed, including maintaining and stocking liquor, beer, wine, food, paper & plastic, chemicals, and overall operating supplies in storerooms and picking up / dropping off goods from off-property., • o To deliver all necessary goods and supplies to appropriate departments in a safe and efficient manner., • o To assist in the financial administration of the storerooms, providing all required assistance and reports to the Accounting Department., • o To maintain constant awareness of current market conditions, and develop a network of vendors for company use, in order to be able to advise any resort Director of optimal conditions for purchases., • o To customarily and regularly exercise discretion and independent judgment with vendors., • o To purchase, stock, inventory and issue materials and services as directed, to meet the day-today requirements of general resort operations., • o To oversee the operation of beer, liquor, and wine storerooms, including ordering, receiving, and stocking, calculating receiving sheets, maintain current price lists, completing requisitions and insurance reports, maintaining order and cleanliness, and assisting in monthly and quarterly inventories., • o To ensure that all food, beverage, and non food deliveries are received, inspected and coincide with the approved purchase orders., • o To reconcile shipping invoices and receiving reports to ensure count accuracy., • o To secure all receiving areas to ensure safekeeping of product and packages., • o To maintain accurate tracking systems on all shipping and receiving transactions., • o To communicate any and all loss or damage of products with the Purchasing Manager., • o To promptly review, fill, and deliver all department requisitions., • o To dispose of broken glass and sharp objects, etc., in appropriate containers., • o To satisfactorily perform all other duties as directed by supervisor., • o To follow all policies and procedures of Invest Europa, LLC DBA Europa Village Wineries & Resort., • o To immediately report all suspicious occurrences and hazardous conditions., • o To maintain the cleanliness and safety of work areas at all times., • o To practice safe work habits at all times, to avoid injury to self and others., • o To comply with company and departmental safety rules and regulations, including the proper handling of all relevant equipment and machinery., • o To handle, store, and label all hazardous substances according to state and federal regulations., • o To attend all mandatory meetings as directed., • o To perform other tasks, including cross-training, as directedJob Knowledge & Education Level:, • Must be able to speak, read, and write English fluently. Must be able to recognize various food and beverage items and their proper handling and storage. Must display knowledge of currently accepted business phone etiquette. Hands-on experience with commonly used tracking and recording systems for purchasing, shipping, and receiving. Familiar with OSHA, SB198, local department of health regulations, and relevant current laws governing handling of hazardous substances. Must have strong independent reasoning and decision-making abilities., • Working Conditions: Works indoors and outdoors throughout shift in clean, adequately lighted offices and storerooms. Exposed to outdoor weather conditions while transporting goods to various areas of the resort. Makes frequent short trips to walk-in coolers, sub zero freezers, indoor storage areas, and outdoor storage areas / storage units. Customer interactions involving problem resolution. Possible exposure to blood-porn pathogens., • Physical Demands: Stands/walks approximately 80% of shift. Sits at desk approximately 20% of shift. Bends, lifts, reaches, and pushes to perform routine tasks. Bends, stoops, reaches, pushes, pulls, kneels, and lifts to perform routine tasks. Constantly required to handle and move objects weighing up to 50 lbs. over short distances. Periodically required to handle and move objects weighing 400 lbs. to 3,000 lbs. over short to long distances, using appropriate hand trucks, pallet jacks, forklifts, and carts. Patience and tact are required to handle customer service situations. Heavy use of phone, daily., • Impact Of Decision: Decisions directly impact customer service resort productivity and profitability, and the quality of goods used by the resort.
