Job Description ORGANIZATIONAL BACKGROUND The Boys & Girls Clubs of Greater Redlands-Riverside has been proudly serving children and families since 1967. We are one of the premier non-profits in the Inland Empire and looking for an incredible Payroll Coordinator to join our dynamic team. We are a highly driven and mission-focused organization in need of an energetic, people-focused, organized, and committed professional to fill the critical role of Payroll Coordinator. The Club’s impact extends throughout several sites across the Inland Empire, Redlands, and areas of the High Desert. PRIMARY FUNCTION The Payroll Coordinator supports the Accounting Department by ensuring accurate and timely processing of weekly payroll for all employees. This role also serves as a key liaison between the Accounting and HR departments, facilitating clear communication on employee records, payroll authorizations, and compliance requirements. The position requires meticulous attention to detail in verifying approved timecards and entering payroll data into the system. The ideal candidate has intermediate Excel skills, attention to detail, and a desire to grow in the accounting field. KEY ROLES (Essential Job Responsibilities): Payroll • Process payroll on a weekly basis, • Ensure all timecards and time off requests are approved., • Enter payroll data into system, • Respond to employee payroll inquiries regarding pay, direct deposit and arrange for check pick-ups., • Process termination checks, • Maintain records: Update employee information as it pertains to location changes and payroll change authorization., • Perform payroll imports into the ERP system. Accounting and Administrative Support • Scan and file digital and paper financial documents., • Maintain orderly historical accounting records., • Support audits with requested documentation. Communication and Collaboration • Work closely with Accounting Manager to ensure timely, accurate entry., • Communicate effectively with internal departments. SKILLS/ KNOWLEDGE REQUIRED: • High school diploma or equivalent required., • 1 year of accounting-related experience OR active college enrollment in accounting coursework., • Proficient in basic PC skills, including Windows 11 navigation, Microsoft Outlook, word processing, and managing data in file storage systems., • Basic Excel skills (e.g., SUM, AVERAGE, COUNT, Tables, Formatting, Sorting & Filtering Data), • Familiarity with accounting and ERP software (Sage Intacct, ADP Workforce Now) is a plus., • Detail-oriented and accurate., • Reliable, organized, and proactive., • Strong communication skills and discretion with sensitive data., • Eagerness to learn and contribute to team success. COMMITMENT TO SAFETY: • Contribute to an environment of safety through the learning implementation and monitoring of all safety-related best practices, policies, and procedures., • Promote accountability to safety through consistent observation, adherence to all safety rules and practices, and proactive communication., • Obtain and maintain Mandated Reporter training and complete annual Child Abuse Prevention training., • Complete training and participate in all Emergency Preparedness protocols including drills and communication practices., • Valid State Driver License or California ID card., • Must clear TB, Drug Screen and Fingerprint check., • CPR & First Aid Certifications within 90 of hire. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: Normal internal office environment with frequent need to travel to club locations within the Inland Empire. Frequent internal contacts with employees throughout the organization required. Exerting up to 20 pounds of force occasionally or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time and not substantially exposed to adverse environmental conditions.
