Job Description Executive Assistant to the CFO Newport Beach, California Full-Time Compensation: $85,000–$115,000 base salary, depending on experience and capability About the Role Gas Land is hiring an exceptional Executive Assistant to support the CFO in a high-trust, high-responsibility environment. This is a pivotal role inside the founder’s office. It is designed for someone who is not simply looking to manage calendars or answer phones, but who takes pride in creating order, discipline, and operating leverage for senior leadership. The person in this role will help professionalize the day-to-day functioning of the office, bring structure to critical records and workflows, and become a reliable force behind the execution of the business. The environment is entrepreneurial, fast-moving, and hands-on. What You Will Own • Provide direct, day-to-day support to the CFO across scheduling, coordination, priorities, and executive workflow, • Bring structure and control to office operations, including physical paperwork, contracts, records, and administrative systems, • Organize and maintain digital files, naming conventions, document storage, and retrieval processes so critical information is easy to locate and use, • Prepare executive materials, reports, presentations, correspondence, and meeting documents with accuracy and professionalism, • Track priorities, follow-ups, deadlines, and action items to help leadership stay focused and ahead, • Support the CFO with administrative coordination related to invoices, expenses, financial documentation, and internal information flow, • Support the with meeting preparation, communications, logistics, and day-to-day operational management, • Serve as a dependable point of coordination across the office to ensure a smooth, efficient, and professional operating environment, • Handle incoming communications, visitors, mail, and office logistics with polish and discretion, • Coordinate travel, itineraries, meetings, and related executive logistics, • Identify disorganization or inefficiency and take initiative to improve systems, processes, and workflow Who You Are • Highly organized and naturally structured in how you manage information, time, and priorities, • Comfortable operating in an entrepreneurial environment where not everything is perfectly built yet, • Professional, polished, and trustworthy with confidential business and financial information, • Strong in follow-through, detail, and execution, • Able to anticipate needs, solve problems quietly, and keep senior executives well supported, • Calm, composed, and effective when managing multiple priorities at once, • Motivated by being useful, reliable, and indispensable in a high-functioning office Preferred Background • 3–7 years of experience in an executive assistant, office operations, office manager, or similar support role, • Experience supporting senior executives, ideally including a CEO, CSO, CFO, and Board Members, • Strong experience managing documents, contracts, records, and sensitive communications, • Proficiency in Microsoft Office, especially Outlook, Word, and Excel, • Excellent written and verbal communication skills, • Strong business judgment and a high degree of discretion, • Experience in a private company, entrepreneurial business, or fast-paced executive office environment is preferred What Success Looks Like • The CEO and CFO are better supported, better organized, and able to stay focused on higher-value priorities, • The office runs in a more disciplined, professional, and efficient manner, • Contracts, files, and key records are organized and easy to access, • Administrative chaos is replaced with structure, consistency, and follow-through, • Leadership has confidence that the office is functioning at a high standard Why This Role Matters This role is central to building the operating discipline of the company.
